The Pritzker School of Medicine is one of few medical schools to be located physically on its University campus, offering both intellectual and social advantages to students who spend their medical school years within a vibrant, multidisciplinary intellectual community. Job Summary

The Pritzker School of Medicine (PSOM) seeks a highly professional and detail-oriented administrator to join the curriculum team. This role provides professional support and solves problems for a broad range of operations and activities, and assists in the development and implementation of procedures and policies related to undergraduate medical education. In collaboration with the Director and Assistant Director, supports the daily operations, logistics, and administrative functions of the department to ensure smooth execution of medical school education and continuous quality improvement. Additionally, this position will develop positive and active working relationships with individuals across PSOM and the University of Chicago, including PSOM leadership (faculty deans and staff), faculty course directors, administrative staff, and medical students.

Responsibilities

  • Assists colleagues with event planning and supporting in-person events, including but not limited to Transition to Residency, Senior Scientific, Medical Education Day, Transition to Phase II, Immersion Week, and Orientation.

  • Executes administrative duties such as filing, typing, copying, copy editing, scanning, etc.

  • Assists leadership team with drafting and formatting communications and presentations.

  • Tracks and submits Extra Service Payments (ESPs) as relevant to Phases II and III of the medical school curriculum.

  • Supports registration & evaluations efforts for Phase III courses.

  • Supports the medical school’s administration of MedHub.

  • In support of Phase III director, coordinates logistics of annual Transition to Residency program.

  • Supports Phase II and Phase III directors as needed.

  • Schedules standing curriculum committee meetings and manage rosters.

  • Schedules meetings on behalf of curriculum leadership team members.

  • Records minutes from standing curriculum committees’ meetings.

  • Regularly updates curricular information on PSOM website.

  • Processes payments to vendors for medical school education expenses.

  • Completes ad hoc projects as assigned.

  • Coordinates with the students and staff to develop activities, programs, and initiatives related to student life, and/or community involvement. Develops and implements straightforward programming.

  • Markets student activities programming throughout the year. Develops and implements protocols for evaluating the effectiveness of programs.

  • Performs other related work as needed.


Minimum Qualifications

Education:

Minimum requirements include a college or university degree in related field.


Work Experience:

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Education:

  • Bachelor’s degree.

Experience:

  • Experience working in higher education, healthcare, academic administration, or a related field strongly preferred.

  • Experience managing administrative processes strongly preferred.

  • Project management experience strongly preferred.
