Reporting to the Leader, Talent Acquisition & Onboarding, this role blends people leadership, process improvement, and project coordination.
In this role, you will:
- Oversee daily onboarding operations and provide guidance to the Onboarding team to ensure effective, timely, and consistent service delivery.
- Supervise designated onboarding team by supporting, directing, and guiding staff, monitoring the quality of work, and completing performance reviews.
- Lead the planning, coordination, and implementation of onboarding processes, initiatives, and projects from concept to completion.
- Monitor onboarding related audits ensuring all requirements are complete and compliant.
- Establish and maintain onboarding standards of practice, documentation, and follow‑up processes aligned with industry best practices and Fraser Health’s operational needs.
- Facilitate change management initiatives and provide regular status updates, insights, and recommendations to the Leader.
- Partner with a wide range of internal and external stakeholders, responding to inquiries and delivering clear, concise updates on progress, risks, challenges, and opportunities.

The Onboarding Coordinator oversees the daily operations of the Onboarding team and provides direction in the areas of business planning, process design, information management and transition planning to improve the quality, consistency and delivery of Onboarding services across Fraser Health (FH). Under the direction of the Leader, Talent Acquisition & Onboarding the Coordinator is responsible for supervising designated staff, conducting performance reviews, developing management and operational business processes and templates, and reviewing benefit audits, and criminal record check reports to ensure completion. Coordinates the onboarding and integration function with developing and establishing standards of practice for onboarding processes, documentation, completion and follow up; implements project deliverables and processes consistent with industry-wide best practice, FH business and operational requirements; assists with measuring the overall effectiveness of improvement to onboarding service delivery and responsiveness.
Responsibilities
- Oversees and coordinates the daily operations of the Onboarding Team for Fraser Health.
- Supervises designated Onboarding staff by supporting, directing, and guiding staff, monitoring the quality of work, and completing performance reviews.
- Participates in hiring, orientation and training of new employees and develops and implements appropriate staff development plans. Assists the Leader with performance management, discipline, and terminations.
- Responds to inquiries from onboarding representatives, new FH hires, and managers by providing clear guidance and ensuring consistent application of practice standards to support efficiency, accuracy, and a positive onboarding experience.
- Reviews and monitors onboarding audits including benefit entitlements, onboarding check in surveys, and criminal record checks; follows up with onboarding team to ensure necessary updates are complete.
- Reviews and updates existing documentation; including offer letters, onboarding checklists, and new hire packages. Provides recommendations on how to improve the efficiency, effectiveness, and overall Onboarding experience.
- Conducts business analysis by performing workflow assessments and developing business information requirements, documentation, templates, and models. Defines business scope and objectives; plans, designs, and updates onboarding manual and automated business processes, and supports change management initiatives.
- Coordinates information system processes, including expedited user access setup through IMIT. Supports the implementation of new onboarding technology by following project management methodologies, managing project timelines, facilitating change management, defining tasks, identifying requirements, and reporting project status to the Leader. Participates in project coordination and design phases as required.
- Coordinates the planning and implementation of assigned onboarding projects and/or components thereof, from the initial planning and design stages through to implementation and completion. Provides support by communicating policies and priorities, monitoring work, and ensuring issues are resolved or escalated to appropriate level(s) to meet project deliverables and user requirements.
- Implements project plans in accordance with established project methodologies and systems to ensure the successful and coordinated completion of onboarding process updates. Collaborates with stakeholders and user groups to apply best practices and provide support to departments.
- Liaises with various internal and external stakeholders; conveys information and responds to queries, concerns, etc. with respect to project status, design and construction matters; provides frequent clear and concise reports to leadership regarding ongoing issues, progress updates, challenges and opportunities.
- Provides project support to Leaders/Managers/Client Partners on single projects or portfolios of projects by assisting with project planning and coordination, maintaining and coordinating information flow and project records including proposals, contracts, risk/issues registries, work plans and timelines, change requests, meeting agendas and minutes, project decisions and approvals, submittals, plans, manuals, status reports, and related quality and risk management processes.
Qualifications
Education and Experience
Bachelor’s degree in Business, Information Systems or Health Information Science, or other health related disciplines, three (3) to five (5) years recent related experience or an equivalent combination of education, training and experience.
