Job Description
Job Purpose
Reporting to the Plant Maintenance Manager, the Maintenance Inventory Coordinator is accountable for maintenance inventory and stockroom operations, ensuring accurate inventory records, material availability, and effective support of maintenance execution in partnership with the Maintenance Planner and Buyer.
Duties and Responsibilities
Own and maintain accurate inventory records for approximately 12,000 stocked items across multiple inventory locations; including set up of new items and deprecation of old items
Maintain CMMS inventory integrity, ensuring transactions, part data, and location records are accurate and current. Work with leadership to hold team members accountable
Own the maintenance receiving function, including inspection, verification, and sign‑off of incoming parts for accuracy and condition. Coordinate discrepancy resolutions with the Maintenance Buyer and suppliers
Notify requesters promptly upon receipt of non‑stock items
Manage obsolete and surplus inventory, including identification, removal, and CMMS updates
Control parts availability by locating, picking, and staging materials for planned and unplanned maintenance work (weekends included)
Serve as primary stockroom support for maintenance trades, including rapid parts identification during breakdowns
Conduct daily cycle counts and stockroom audits; investigate and correct discrepancies
Maintain issue controls by reviewing sign‑out activity and ensuring CMMS transactions reflect actual usage
Ensure CMMS location accuracy and labeling compliance with site standards and governing requirements (e.g., BRC, SQF)
Partner with the Maintenance Buyer to review usage trends and maintain min/max inventory levels
Monitor inventory levels and flag replenishment needs to the Maintenance Buyer to prevent out of stock items
Provide cross‑trained backup support for the Maintenance Buyer as required
Identify inventory and stockroom improvement opportunities
Support KPIs and SOP development, implementation, and adherence

Attend regular 1:1 coaching/update sessions
Qualifications
High school completion
Technical background preferably in mechanical or maintenance fields
Preferred 2-5 years’ experience in Maintenance Stock Inventory
Intermediate skills in Microsoft Office programs and Computerized Maintenance Management System (CMMS)
Strong organizational and time management skills
High attention to detail
Ability to work in a team-based environment and independently
Working Conditions
Majority of time spent in stock rooms with occasional office environment and Kill or Cut floors as needed. Weekend work may be required.
Physical Requirements
Frequently required to lift up to 50 lbs. Ability to move around the production plant.
