Industrial Administrative Assistant

The ideal candidate is detail-oriented with strong computer skills, responsible for processing paperwork for all rail traffic and other administrative tasks. Job Duties & Responsibilities:• Provide administrative support to site employees and leadership• Manage incoming communications including phone calls, visitors, and mail• Coordinate meetings, including scheduling rooms, ordering supplies, preparing materials, and arranging visitor access• Prepare reports and maintain accurate electronic and physical filing systems• Assist with expense tracking, receipt collection, and report preparation• Order office supplies and support general administrative and operational needs• Troubleshoot basic office equipment issues and support Microsoft Office applications (Excel, Outlook, Word, PowerPoint)• Support travel arrangements, errands, and other administrative tasks as needed• Communicate effectively with team members while maintaining confidentiality and professionalism• Track assigned tasks, meet deadlines, and support changing site priorities• Maintain a safe, organized, and team-oriented work environment in alignment with company standards• Complete additional duties as assigned
Job Qualifications:• Proficient in Microsoft Office (Excel, Outlook, Word and PowerPoint)• Strong communication and organizational skills• Ability to multitask and meet deadlines on a consistent basis• Maintain high level of confidentiality and professionalism• May require a valid Driver’s License and / or a valid TWIC card, depending on work location• 18 years or older and legally able to work in the U.S.• Pass a drug screen, physical, and background check• Wear all required PPE without restriction and pass any required medical exams• Speak, write, read fluent English• Regular on-site attendance and punctuality is required• Previous military experience and proven ability to follow procedures is a plus
