The U-Haul University Project Coordinator is responsible for assisting with and coordinating the development, maintenance, and delivery of educational programs and learning solutions for U-Haul University. This role partners with business stakeholders, Subject Matter Experts (SMEs), eLearning Specialists, and Instructional Designers to ensure educational projects are completed on time, within budget, and aligned with organizational goals.
The Project Coordinator manages project schedules, tracks deliverables, coordinates stakeholder communication, and supports the full lifecycle of learning initiatives from intake and development through implementation, publication, and ongoing maintenance.
Project Coordination & Administration
- Develop and maintain project plans, timelines, milestones, and status reports.
- Track project progress and maintain project documentation, meeting notes, action items, and project records.
- Ensure project deliverables are completed according to established timelines, budgets, and quality standards.
- Coordinate stakeholder reviews and approval processes throughout course development.
- Track review cycles and ensure timely completion of stakeholder feedback and approvals.
- Build and maintain positive working relationships across departments and business units.
- Facilitate project meetings and communicate project updates to stakeholders as needed.
Learning Development Support
- Assist in the intake, evaluation, and prioritization of learning and development requests.
- Support course development workflows, including storyboards, scripts, assessments, multimedia assets, and supporting materials.
- Coordinate course reviews, revisions, testing, and publication activities.
- Ensure learning materials align with organizational standards, branding guidelines, and instructional design best practices.
- Support translation, accessibility, and localization initiatives when applicable.
- Assist with maintaining course inventories, ownership records, and review schedules.
- Support the governance and lifecycle management of learning assets, including course ownership, review cycles, archival processes, publication standards, and ongoing maintenance requirements.
Learning Technology & Reporting
- Support the administration and maintenance of learning technologies and systems used by U-Haul University.
- Monitor learner completion data and generate reports for stakeholders and leadership.
- Maintain accurate records of learning assets, course ownership, project status, and review schedules.
- Support learning analytics initiatives, dashboards, and reporting efforts.
- Assist with testing and quality assurance activities related to learning systems, course deployments, and learner experiences.
Project Financial Management & Systems Administration
- Coordinate project-related quotes, estimates, purchase requests, invoices, and vendor documentation.
- Utilize Azure DevOps to manage project requests, track work items, document project progress, and maintain project records.
- Manage project intake and workflow tracking through Azure DevOps, ensuring accurate assignment of work requests, resource allocation, billing information, and project completion documentation.
- Coordinate the preparation and submission of quotes and invoices related to project deliverables and completed work.
- Assist in tracking project budgets, expenditures, and resource utilization to support effective project planning and financial accountability.
- Generate project status reports, budget summaries, and resource utilization reports as needed.
- Maintain documentation supporting project billing, vendor services, and completed deliverables.
Continuous Improvement
- Identify opportunities to improve project workflows, development processes, and stakeholder experiences.
- Assist in establishing and maintaining standards, templates, procedures, and best practices for U-Haul University.
- Support quality assurance reviews of learning content, materials, and deliverables.
- Contribute to the ongoing enhancement of U-Haul University's learning strategy, operations, and project management processes.
- Recommend process improvements that increase efficiency, consistency, and quality across learning initiatives.
Qualifications
Education
- Bachelor's degree in Education, Instructional Design, Learning & Development, Business Administration, Communications, Project Management, or a related field preferred.
Experience
- 2–4 years of project coordination, administration, learning operations, instructional design support, or related experience.
- Experience managing multiple projects and competing priorities in a fast-paced environment.
- Experience working with cross-functional teams, stakeholders, and Subject Matter Experts (SMEs).
- Experience supporting learning and development, or educational initiatives preferred.
- Experience coordinating project budgets, invoices, vendor services, or financial documentation preferred.
- Experience utilizing project management platforms such as Azure DevOps, Jira, Asana, Monday.com, Smartsheet, or similar systems preferred.

- Ability to manage multiple priorities, deadlines, and stakeholder expectations simultaneously.

- Proficiency with Microsoft Office Suite, particularly Excel, PowerPoint, Outlook, and Teams.
- Experience with project management and workflow tracking tools, including Azure DevOps preferred.
- Familiarity with Learning Management Systems (LMS) and learning technologies preferred.
- Ability to analyze data, generate reports, and communicate project status effectively.
- Ability to work independently while collaborating effectively with diverse teams and business units.
- Strong customer service mindset with the ability to build productive working relationships across the organization.
Preferred Qualifications
- Experience in Learning & Development, Educational Technology, or Instructional Design environments.
- Knowledge of instructional design methodologies such as ADDIE, Agile Learning Design, or similar frameworks.
- Experience coordinating eLearning development projects from intake through publication.
- Familiarity with authoring tools such as Rise 360, Storyline, Captivate, or similar platforms.
- Experience supporting translation, accessibility, or localization initiatives.
- Experience with learning analytics, dashboards, and evaluation methods.
- Familiarity with vendor management, project billing, and budget tracking processes.
