Facilities Administrator - support the Facilities Maintenance team nationally

We’re looking for a highly organised Facilities Administrator to support our national Facilities & Engineering team. This is a critical role ensuring maintenance operations run smoothly behind the scenes—through accurate admin, financial processing and contractor coordination.

This is a Mon-Fri, 7am to 3pm position.

What you’ll be responsible for

  • Raising purchase orders and receipting in a timely manner

  • Processing invoices and following up with Finance where required

  • Maintaining accurate contractor records (insurances, permits, inductions, compliance docs)

  • Supporting Capex tracking and facilities budgets

  • Assisting with reporting and administrative support for the Facilities team

  • Ensuring all documentation and records are up to date and audit-ready

  • Working closely with operations, maintenance teams and external contractors

What we’re looking for

  • Extensive experience in an administrative role

  • Proven experience raising PO’s and processing invoices (essential)

  • Proficient data entry and attention to detail

  • Ability to manage multiple priorities and deadlines

  • Confident communicator with a customer-focused mindset

  • Impressive organisational and time management skills

Highly regarded

  • Experience in facilities, maintenance or logistics environments

  • Exposure to contractor management/compliance documentation

  • Proficient Microsoft Office skills (Excel, reporting)

  • Experience with systems such as WMS, TMS or finance systems
