JOB TITLE: ORDER MANAGEMENT - Backffice
ENGLISH LEVEL REQUIRED: B2
LOCATION: SANTIAGO - ON SITE
WORK SCHEDULE: MON TO FRI 9:00 AM -6:00 PM DURING DLS / 10:00 AM - 7:00 PM
TRAINING SCHEDULE: 8:00 AM -5:00 PM
TRAINING START DATE: July 13th
GENERAL DESCRIPTION OR PURPOSE OF JOB:
This role is vital in ensuring the accurate and efficient processing of Service Orders/Bridge Orders along with maintaining strong communication with internal teams and Sales Reps. Evaluates error messages and corrects using computer system. Process Service Orders/Orders according to department guidelines and polices.
Required:
- Intermediate English Level (B2)
- Excellent verbal and written communication skills
- Organized with strong attention to detais
- Ability to make decisions and exercise judgment
- Ability to work in a team environment
- Ability to handle multiple tasks
Preferred:
- Order Processing experience
- 3-6 months General Office experience
- Previous experience working with Oracle system
RESPONSIBILITIES / ESSENTIAL FUNCTIONS:
Perform standard account setup and order entry functions
- Create and maintain account information
- Enter, correct, and process orders
- Enter Bridge Orders in the Oracle system
- Evaluate error messages and take corrective action
- Maintain necessary data documentation
- Contact internal departments and other Jostens locations to obtain or provide information for accurate order entry
- Accurately enter all Service Orders/Bridge Orders into the ERP system
- Review order documentation for clarity, completeness, and consistency with established part records
- Review customer order product revision levels and initiate Change Orders
- Prepare documents to communicate customer order needs
- Modify existing orders as per customer requests and coordinate with production centers to assess schedule changes.
- Update internal documents to reflect required changes and communicate them to the production team
- Manage email and phone communications effectively
