Job Summary
The Inbound Delivery Coordinator is responsible for the daily creation, validation, and maintenance of inbound deliveries (IBDs) that keep product flowing accurately through our distribution network. Working at the intersection of our SAP and warehouse management (JDA / Blue Yonder) systems, this teammate reconciles data across multiple daily reports, ensures system and data accuracy, troubleshoots and re-triggers deliveries when needed, and partners with site teams and support contacts to resolve issues.
This role supports a phased system-integration rollout — beginning with our initial go-live sites and expanding network-wide — so attention to detail, consistency, and clear communication are essential. This is an excellent opportunity for a detail-oriented, data-entry–minded teammate to grow within supply chain operations. No prior SAP or warehouse-system experience is required; full training is provided.
Core Responsibilities
Inbound Delivery Processing
Create inbound deliveries (IBDs) in the system, verifying item details, quantities, and shipment data for accuracy before processing.
Process straightforward, single-line deliveries efficiently while giving complex, multi-PO or multi-SKU shipments the additional review they require.
Confirm that shipments are in the correct system status before creating a delivery to prevent downstream EDI errors.
Update the cutover / tracking spreadsheet to reflect each delivery created and keep records current for all sites.
Data Reconciliation & Accuracy
Compare and validate data between the Yard Report and the P2D Report to confirm quantities and catch missing or mismatched information.
Investigate and resolve discrepancies — such as extra purchase orders, quantity differences, or missing part numbers — before completing a delivery.
Adjust delivery quantities after creation when a distribution center reports a shortage, so future shipments under the same PO can be processed cleanly.
System Integrity & Workflow Monitoring
Monitor inbound delivery workflows and re-trigger IBDs when deliveries are not dropping into the warehouse system as expected.
Verify that trailer numbers are unique in the system prior to creating a delivery, and apply the standard work-around (e.g., appending a digit) when a duplicate exists.
Reverse, uncreate, and recreate deliveries as needed, particularly during pre–go-live cleanup and corrections.
Planning & Operational Support
Maintain a forward-looking schedule, working approximately one week ahead based on available reporting and trailer information.
Support a full daily queue independently once trained, with a typical resolution time of about a minute for clean deliveries and additional time for exceptions.
Support the phased integration rollout across distribution centers as additional sites go live.
Communication & Collaboration
Communicate regularly with site warehouse teams, transportation/report owners, and project leadership to share updates and align on priorities.
Escalate system errors and stuck items to IT and system-support contacts, and follow up on open tickets until resolved.
Build effective working relationships across Operations, Customer Service, and IT to support smooth, accurate inbound processing.
Qualifying Experience
Required
High school diploma or equivalent.
Strong attention to detail and a high standard of data accuracy.
Comfort working in spreadsheets and cross-referencing multiple reports and data sources.
Strong organizational and time-management skills, with the ability to manage a daily workload independently.
Clear written and verbal communication, including the confidence to ask questions and escalate issues when needed.
Basic computer proficiency and the ability to learn new systems quickly (full training provided).
Reliable and self-directed, able to stay focused throughout a full shift.
Preferred
Prior data-entry, order-processing, or administrative experience.
Exposure to warehouse, distribution, logistics, or supply chain environments.
Familiarity with SAP, JDA / Blue Yonder, or other WMS / ERP systems.
Experience reconciling data between multiple reports or sources.
Core Competencies
Detail-oriented with a focus on accuracy
Problem-solving and analytical thinking
Effective communication and teamwork
Ability to prioritize and manage multiple tasks
Adaptability in a dynamic operational environment
