Job Description

Purpose of the Job: 

The Executive Administrator provides high-level administrative support to the CEO and executive leadership team, ensuring effective calendar management, meeting coordination, travel planning, communication flow, and event execution. This role requires strong judgment, confidentiality, organization, and the ability to anticipate needs in a fast-paced executive environment.

 

Key Accountabilities: 

  • Manage complex calendars for the CEO and executive leadership team, including scheduling, prioritizing, and coordinating meetings across internal and external stakeholders.
  • Coordinate executive meetings, leadership team meetings, board meetings, and global leadership visits, including logistics, materials, presentations, and Microsoft Teams support.
  • Manage domestic and international travel arrangements, itineraries, accommodations, and related logistics for executive leaders.
  • Serve as a key point of contact between executives, employees, global assistants, external partners, and vendors.
  • Manage information flow, follow-ups, and communications in a timely, professional, and confidential manner.
  • Support planning and execution of company events, leadership meetings, and executive-level visits in coordination with internal teams and external vendors.
  • Handle sensitive information with discretion and maintain confidentiality at all times.
  • Assist with special projects, executive requests, and back-up support for corporate administration as needed.

 

Knowledge/Skills/Experience:

  • High school diploma or equivalent required; bachelor’s degree preferred.
  • Minimum of 5 years of executive administrative support experience, preferably supporting senior leaders.
  • Strong calendar management, meeting coordination, travel planning, and event support experience.
  • Advanced proficiency with Microsoft Word, PowerPoint, Excel, Outlook, and Teams.
  • Excellent written and verbal communication skills, with strong attention to detail.
  • Highly organized, proactive, and able to manage multiple priorities in a fast-paced environment.
  • Sound judgment, discretion, critical thinking, and problem-solving skills.
  • Results-oriented with the ability to work independently and follow through on commitments.

The anticipated base annual salary range for this role is between $68,400.00 and $102,600.00 per year.  This role is bonus eligible. The bonus incentive program is based on the company meeting or exceeding certain targets. Please note that the salary range provided is a good faith estimate and is only applicable for roles that are based out of Illinois. The final salary will be determined after considering relevant factors, including, but not limited to, a candidate’s qualifications, experience, and work location, where appropriate.
