Cleveland Clinic London are looking to recruit a Medical Secretary. Cleveland Clinic is a consultant-led global healthcare organisation that attracts the best clinicians in their respective fields. Cleveland Clinic London will provide comprehensive medical and surgical services, with a special focus on Heart, Vascular & Thoracic, Digestive Disease, Neurosciences, and Orthopaedics, as well as other clinical areas.
The Medical Secretary will provide secretarial and administrative support of the highest quality to consultants, performing a variety of duties to support assigned consultants such as handling telephone calls, liaising with patients, scheduling and dealing with all related correspondence. he role will also require effective and sensitive communication with patients to provide a world class service and patient experience.

What will your duties include?
- Serve as an administrative point of contact and act as a liaison between the patient and consultant. Supports the consultant and patient with queries relating to the patient treatment pathway. Work collaboratively with the patient access and business office teams and provide guidance to the patient as appropriate to facilitate a seamless patient journey.
- Manage and prioritise multiple assignments simultaneously and effectively under the direction of the Medical Secretary Manager and Clinical Institute Leadership; manages and edits consultant schedules, consultant diaries, coordinating patient appointments, and responding to queries from patients, staff, and others
- Correspond with patients via telephone, e-mail and letter
- Compose and prepare a variety of correspondence (e.g., medical reports, forms, presentation materials, messages, etc.)
- Communicate effectively with other relevant hospital departments, professionals, etc to facilitate the patient journey
- Arrange and schedule meetings as required
Coordinate with theatre and endoscopy teams to plan case lists, ensuring appropriate anaesthetic cover is in place to support safe and efficient service delivery
Oversee the management of annual leave for anaesthesia staff, arranging suitable cover and accurately recording additional sessions for payroll processing
Maintain effective and professional communication with anaesthetists, consultants, and relevant departments to facilitate the smooth running of daily operating lists
Manage and respond to queries from medical secretary and anaesthesia inboxes promptly, ensuring issues are resolved and escalated appropriately where required

What we need from you?
Medical secretary experience, working in a private healthcare setting (essential)
Experience of using Electronic Medical Records systems (desirable)
Proficiency using Microsoft Office (essential)
Effective and sensitive communication with patients (essential)
Exceptional prioritization and organization skills (essential)
