What you will do

The Parts and Service Financing team is a key contributor to the success of Volvo Financial Services US (VFS), part of the worldwide AB Volvo Group. Our purpose is to provide solutions for our fleet and construction customers to have parts and service availability at any participating Volvo, Mack, or Volvo Construction Equipment dealership nationwide using proprietary technology to feed data to their procurement systems. Strengthening and solidifying the relationship between our brands and the customer while driving sales to our dealer network.  

 
The Parts and Service Financing team is the industry leader offering innovation and flexibility to the ever-changing complexities of truck fleet procurement requirements. For our construction equipment clients, we offer the tools to streamline their purchase and payment activities, so they can put more focus on what they do best.  

 
As a Key Account Analyst, you are responsible for the end-to-end management of assigned client accounts, including resolution of delinquent invoices, root cause analysis of discrepancies, and proactive account monitoring. You serve as a trusted advisor to clients and collaborate with dealerships and internal partners to resolve issues, improve processes, and support program adoption and growth. You also leverage your expertise to offer support to dealerships and customers through our support phone line and support email box, when they reach out for assistance on a variety of issues related to the program.

Key Responsibilities

Client Relationship Management

  • Serve as the primary point of contact and trusted advisor for assigned fleets/clients.
  • Maintain full ownership of account health, ensuring timely follow-up and resolution of all issues.
  • Develop an understanding of client business models and procurement processes to anticipate needs and recommend solutions.

 

Accounts Receivables Analysis

  • Manage and resolve delinquent invoices to minimize aging and financial risk.
  • Conduct root cause analysis on invoice and PO discrepancies using internal and external systems.
  • Monitor account activity and analyze data trends to identify improvement opportunities.
  • Ensure accuracy, completeness, and integrity of account and financial data.

 

Collaboration and Problem Solving

  • Partner with dealerships, clients, and internal stakeholders to resolve operational and financial issues.
  • Manage client inquiries and complaints professionally, focusing on timely resolution and relationship preservation.
  • Influence stakeholders and drive alignment without direct authority.

 

Sales Growth and Client Onboarding

  • Support sales teams through reporting, data analysis, and identification of growth opportunities. 
  • Assist in onboarding new clients and expanding existing accounts, including training on program processes and tools.

 

Planning and Execution

  • Prioritize workload effectively based on aging, financial risk, and client impact.
  • Balance proactive account management with real-time issue resolution in a fast-paced environment.

 

Tools and Systems

  • PSF customer and dealer web portal, MS Great Plains, Salesforce dispute case management. 
  • Power BI for reporting, dashboards, and workload prioritization.
  • External procurement and e-commerce systems (Coupa, Oracle, Taulia, TradeCentric). 
  • Microsoft 365 tools including Excel (advanced analysis), Teams, PowerPoint.

Who are you?

Ideally, you have:

  • BA/BS in Business Administration, Marketing, Finance, Accounting or similar.
  • 3 years or more of Account Resolution Analyst, Sales Support, or Customer/Dealer Support.
  • Strong interaction skills that enable you to become a trusted advisor for your clients and onboard new clients, while able to switch back and forth from research to real time phone/email inquiries or complaints requiring problem solving on the fly.
  • Self-motivation to be proactive in the client relationships/communication with strong planning and organizing skills that enable you to co-create client success.
  • Proficient in PSF Customer/Dealer Portal, client procurement system portals, Salesforce case management, MS Power Apps including PowerBI.
  • Intermediate level in Microsoft Office 365 products (MS Teams, Word, PowerPoint, Excel especially Pivot Tables and XLookup or data comparisons).
  • Proactive at identifying root causes.
  • Proven ability to effectively coach and train others in person or virtually on processes and tools.
  • Experience managing client complaints and issues including problem-solving, research and analysis, with focus on fair and equitable solutions for all parties involved.
  • Excellent proficiency in reading, writing, and speaking English; French-Canadian fluency a plus.

At the Volvo Group, we strive for a clear, transparent, and straightforward compensation approach, motivating you to contribute to the company’s growth. For this position, the base pay is set at $62,000.00 - $74,000.00 annually, and where applicable, bonus eligible.  The range for this role, as well as final salary offered, is determined by several factors including, but not limited to, geographic location, work-related knowledge, certifications, skills, education, and experience. In addition to these factors, we believe in the importance of pay equity and consider internal equity of our current team members as part of any final offer.
