Lerch Bates is seeking a Project Coordinator to support project delivery, proposal development, contract administration, and operational activities for our Architectural Design team. This role plays a critical part in keeping projects organized, supporting consultants and project managers, maintaining client documentation, and ensuring the successful coordination of project activities from proposal through completion.
As a Project Coordinator, you will collaborate with consultants, managers, clients, and internal support teams to prepare project documents, manage contracts, coordinate project records, and support business operations. This position is ideal for a highly organized professional who enjoys working in a fast-paced environment, managing multiple priorities, and contributing to the success of technical consulting and design projects.

What You’ll Do:
The duties listed below are intended only as illustrations of the various types of work that may be performed in this position. They are not intended to prescribe or restrict the assignments that management may make.
Project & Proposal Coordination
- Support the preparation and submission of RFPs, RFQs, RFIs, proposals, and qualification packages
- Assist with proposal development, document formatting, editing, and production using Word, Excel, PowerPoint, and InDesign
- Track project progress and maintain project information within Deltek and other project management systems
- Create project presentations, marketing collateral, and client-facing documents
- Assist consultants and project managers with specifications, reports, templates, and technical documentation
Contract Administration
- Support the preparation, processing, and administration of project contracts, service agreements, purchase orders, and related documentation
- Coordinate with internal teams to facilitate contract review and execution
- Assist with obtaining Certificates of Insurance (COIs) and project compliance documentation
- Serve as a liaison between project teams and clients throughout the contract execution process
Document Management & Quality Control
- Perform quality control reviews of project documents to ensure consistency, accuracy, grammar, formatting, and compliance with company standards
- Organize, maintain, and archive electronic project records and documentation
- Support a paperless office environment through effective file management and document organization
- Maintain accurate records of project activity, communications, proposals, and client interactions
Team & Client Support
- Provide administrative and operational support to consultants, project managers, and leadership
- Assist with client communications, scheduling, and coordination efforts
- Support internal reporting and operational initiatives as requested
- Collaborate with teams across the organization to support project delivery and business objectives
- Contribute to special projects and other duties as assigned
What You’ll Bring:
- High school diploma required; associate degree, bachelor's degree, or additional college coursework preferred
- 2+ years of experience in project coordination, administrative support, project administration, proposal coordination, consulting, architecture, engineering, construction, or related fields
- Strong organizational skills with the ability to manage multiple projects and competing priorities simultaneously
- Excellent attention to detail and commitment to producing accurate, high-quality work
- Strong written and verbal communication skills, including professional business writing and editing
- Solid knowledge of English grammar, spelling, punctuation, and document formatting standards
- Ability to work independently while collaborating effectively with cross-functional teams
- Experience coordinating contracts, proposals, project documentation, or client deliverables preferred
- Intermediate proficiency with Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and SharePoint
- Experience with Adobe InDesign required or strongly preferred
- Experience with Deltek, ERP systems, accounting software, or project management platforms preferred
- Ability to build relationships and provide exceptional internal and external customer service
- Experience supporting architecture, engineering, construction (AEC), consulting, or professional services organizations preferred

Working Environment:
This position is primarily performed in a professional office environment and requires regular interaction with employees, clients, vendors, and visitors. The role involves supporting daily office operations, coordinating administrative activities, and managing multiple priorities in a fast-paced setting.
Physical Demands:
