This position is contingent upon successful contract proposal submission and award.
Prevailance is seeking an experienced and mission-focused professional to serve as an Administrative Assistant to provide administrative and clerical support to the Readiness Assistance Training Team (RATT) including scheduling, correspondence, records management, and CDRL tracking/preparation assistance.
Responsibilities include, but not limited to:
- Draft and prepare correspondence, directives, and forms in proper format, ensuring accuracy and compliance with procedural requirements
- Utilize various software tools, including desktop publishing, calendar management, email, spreadsheets, and graphics
- Manage travel arrangements, travel orders, and vouchers in accordance with regulations
- Assist with unit-hosted conference planning, including staff briefing preparation and logistical coordination (billeting, protocol liaison, facilities liaison, etc.)
- Schedule large meetings and conferences, including those at distant locations
- Attend meetings and conferences to support administrative setup, logistics, and track action items
- Maintain calendars for the Commanding Officer, Executive Director, Unit events, and Center HQ’s conference rooms
- Provide expert advice on document preparation and publication, including newsletters, brochures, flyers, reports, briefings, and manuals
- Enhance presentation materials, training documents, and technical reports using publishing software
- Provide other support as required.
Requirements
- Experience:
- Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook)
- Experience supporting federal government or DoD program office.
- Strong organizational and communication skills
- Familiarity with DoD records management and OPSEC requirementsAt least
- At least 3 years of experience in a Navy administrative environment
- Recent experience (within the last 3 years) in administrative, presentation, protocol, and operations support
- Extensive executive administration experience, including high-level event planning, itinerary development, and detailed knowledge of Navy protocol and military courtesies
- Proven experience establishing work priorities and effectively communicating with staff
- Strong background in administrative and executive support tasks
- Ability to work independently with minimal supervision
- Excellent written and verbal communication skills
- Education:
- High school diploma or equivalent; associate's degree preferred.
- Security Clearance:
- Secret clearance required
