Virginia Eagle Distributing Company is hiring for a part-time Administrative Assistant at our Verona location. This position will work M-F from 7 am - noon. The Administrative Assistant answers the phone and serves as a lead for daily reconciliation. The position supports managers and employees through a variety of tasks related to organization and communication.
Job Duties:
- Answering phones
- Daily Reconciliation and transmitting files utilizing company specific software.
- Scan Checks to Bank Daily.
- Assist in-house customers.
- Order office supplies.
- Check daily invoices for overage or shortages and follow through with payment or collection with salesman. Follow-up daily until cleared. Notify accounting department of any shortages/overages on Daily Control Sheet. Forward control sheet to accounting department.
- Record any return checks. Inform the salesman about the required collection and report it to the VA ABC Board. Make deposits when they have been collected. Keep a record showing what has been collected. After there have been two returned checks on an account, let the Sales Director, Salesman, and Accounts Receivable Specialist know to put them on a cash only basis. Keep NSF control sheet up to date and submit to accounting first day of month.
- Check daily invoice register and pull appropriate charge invoices and DSD sheets.
- Audit customer ABC License on the VA ABC website to ensure delivery to only licensed customer sites. If an account does not have a current license at the end of the month, report it to Sales and Delivery Management.
- Distribute employee uniforms. Manage sizes at warehouse and submit request for more when needed.
- Print out of code sheets bi-weekly and distribute to managers.
- Adheres to strict safe working practices, VED Safety Guidelines, rules, regulations, corrects obvious hazards immediately or reports to supervisor if not immediately correctable.
- Maintain a positive working relationship with other departments.
Minimum Requirements:
- Must be able to perform the essential functions of the job.
- High school equivalency required, preferred bachelor’s degree in business or related.
- Must possess MS Word, Excel, PowerPoint, Microsoft Outlook and specific company software capabilities.
- Must be able to navigate the Internet and various propriety websites.
- Must be able to manage multiple tasks simultaneously.
- Must be available to work flexible hours.
- Must have the ability to communicate, utilizing the English language in verbal and written form.
- Must be able to use basic math skills including addition, subtraction, multiplication and division to balance all monetary transactions as necessary.
