Summary of Job Duties:

UA Little Rock is seeking to hire an Administrative Analyst for the Science Triangle. The Administrative Analyst will provide administrative, operational, and organizational support for the Science Triangle initiative at the University of Arkansas at Little Rock. The position supports the daily operations and coordination of activities associated with the Shellam Flake Planetarium, UA Little Rock Observatory, and Museum of Natural History, as part of the Science Triangle initiative. The Administrative Analyst serves as a central point of communication for internal and external stakeholders, university staff, faculty, outreach coordinators, student workers, volunteers, community partners, and assists with scheduling, event coordination, records management, communications, visitor engagement, and office operations. The individual in this role must demonstrate professionalism, discretion, strong organizational skills, and the ability to manage multiple priorities in a dynamic educational and public outreach environment. This position is governed by state and federal laws and agency instituiton/policy.


Qualifications:

Required Education and/or Experience:


  • Associate degree in business administration, communications, public administration, office administration, or a related field; or equivalent combination of education and experience;
  • Demonstrated administrative or executive support experience;
  • Strong organizational, communication, and interpersonal skills;
  • Proficiency with standard office software, scheduling systems, and digital communication tools;
  • Ability to manage multiple tasks and deadlines effectively.

Preferred Education and/or Experience:


  • Bachelor’s degree in business administration, communications, public administration, or a related field;
  • Experience working in higher education, public-facing educational organizations, museums, science centers, outreach programs, or nonprofit organizations;
  • Experience supporting public events or educational programming;
  • Familiarity with university administrative systems and procedures;
  • Experience with website management, social media, or event coordination;
  • Experience using event registration, customer relationship management (CRM), or visitor management systems.

Job Duties and Responsibilities:


Administrative Support

  • Provide direct administrative support to the Director of the Science Triangle;
  • Manage calendars, appointments, meetings, and travel arrangements;
  • Prepare correspondence, reports, presentations, agendas, and meeting minutes;
  • Maintain organized records, files, databases, and operational documents;
  • Assist with budget tracking, purchasing requests, reimbursements, and financial documentation.
  • Perform other duties as assigned.

Program & Event Coordination

  • Maintain and coordinate a unified Science Triangle calendar encompassing educational programs, outreach activities, facility reservations, and special events;
  • Coordinate event logistics, including facility reservations, registrations, communications, catering, transportation, audiovisual support, and post-event follow-up;
  • Support the coordination of public events, workshops, astronomy nights, educational programs, exhibitions, and outreach activities;
  • Assist with scheduling facility use for the planetarium, observatory, and related Science Triangle programs;
  • Coordinate logistics for visiting speakers, school groups, community partners, and special events;
  • Assist with registration and communication activities.

Communications & Public Engagement

  • Serve as a primary point of contact for inquiries from students, faculty, schools, community organizations, and the public;
  • Assist with the preparation and distribution of promotional materials, newsletters, announcements, and outreach communications;
  • Support website content updates and coordinate with university marketing personnel regarding social media and promotional activities;
  • Provide professional customer service to visitors and stakeholders;
  • Assist with visitor reception, guest services, and public-facing operations associated with Science Triangle facilities and programs.

Office Operations

  • Maintain office supplies, scheduling systems, and operational workflows;
  • Assist in coordinating student workers, volunteers, and temporary staff schedules;
  • Ensure proper handling of confidential information and university records;
  • Support compliance with university administrative procedures and policies.

Coordination & Collaboration

  • Facilitate communication among university departments, outreach personnel, faculty, and external partners;
  • Assist with grant administration, documentation, reporting, and recordkeeping activities associated with Science Triangle projects and programs;
  • Support strategic initiatives and special projects led by the Director;
  • Participate in planning meetings and operational coordination activities.
