Role: Program Coordinator, Member Services Reports to: Director, Member Services Program: 1200-K9 Connection & 1901- Arts Program Department: Member Services Location: Arlington Administration - 2116 Arlington Ave., Suite 100, Los Angeles, CA 90018 Setting: 100% Onsite Schedule: Monday - Friday, 9:00am - 5:30pm, occasional weekends and evenings Status: Full-time/Exempt/Non-Management Benefits: Medical, Vision, Dental, Life Insurance, 403(b) Retirement plan, Employee Assistance Program (EAP), etc. Openings: 1   Summary: The Member Services Coordinator supports the Director of Member Services in the coordination, implementation, and daily operations of The People Concern’s Member Services programs, including K9 Connections/Pets Landing and Studio 526, the agency’s arts program. This position provides administrative, operational, and program support to ensure the successful delivery of services for members experiencing homelessness or housing insecurity. The Member Services Coordinator assists with pet services, arts programming, community events, outreach activities, volunteer coordination, member engagement, partnerships, data tracking, and program reporting. The Member Services Coordinator plays a key role in maintaining high-quality member services by supporting daily program operations, coordinating logistics, maintaining accurate records, facilitating communication with community partners, and helping strengthen programs that promote connection, creativity, wellness, and community engagement.   Essential Duties and Responsibilities:  Support the Director of Member Services in coordinating and delivering Member Services programs, including K9 Connections/Pets Landing and Studio 526, through daily operations, member support, special projects, and program administration.  Respond promptly and professionally to member inquiries, referrals, emails, and phone calls, ensuring timely follow-up and coordination of services. Assist members with resource navigation, referrals, scheduling, problem-solving, and access to pet services, arts programming, and community resources. Maintain welcoming, organized, and well-equipped program spaces, offices, studios, storage areas, and service locations. Provide administrative support by managing calendars, preparing materials, maintaining documentation, ordering supplies, coordinating schedules, and supporting program communications. Coordinate K9 Connections/Pets Landing services, including pet food distribution, veterinary clinics, wellness services, training, outreach, foster support, rehoming, and related initiatives. Coordinate veterinary services by scheduling appointments, communicating with veterinary partners, preparing required documentation, and supporting members throughout the service process. Assist members in completing required eligibility, intake, consent, and veterinary documentation.  Coordinate logistics for pet clinics, workshops, art events, outreach activities, and community programming, including registration, scheduling, setup, breakdown, and on-site support. Support Studio 526 programming, including open studios, workshops, Art Jams, exhibitions, installations, artist opportunities, and community arts initiatives. Build and maintain collaborative relationships with members, volunteers, artists, donors, veterinary providers, community organizations, and other partners. Represent Member Services at community events, outreach activities, partner meetings, trainings, and networking opportunities. Maintain current knowledge of community resources, veterinary services, pet support programs, arts organizations, and referral networks. Develop and distribute program materials, educational resources, presentations, flyers, and communications for members, staff, volunteers, and partners. Maintain SharePoint and other internal communication platforms with current schedules, forms, announcements, and program information. Manage inventories of pet food, donations, art supplies, equipment, clinic materials, and program resources, including purchasing, receiving, organizing, and restocking. Maintain program equipment, vehicles, storage areas, and supplies to ensure operational readiness for daily services, outreach, clinics, and events. Process member requests, referrals, registrations, and service applications related to Member Services programs. Maintain accurate program data, participant records, inventories, documentation, databases, and reports while ensuring confidentiality and compliance with agency policies. Prepare program statistics, grant reports, outcome data, narratives, and supporting documentation for monthly, quarterly, annual, and grant reporting. Ensure compliance with agency policies, grant requirements, contracts, reporting deadlines, safety standards, and documentation requirements.  Perform other duties as assigned in support of Member Services and The People Concern's mission.   Qualifications: Bachelor's degree in a related field; or an equivalent combination of education and relevant experience. Minimum of two (2) years of progressively responsible experience in program coordination, project management, event planning, community engagement, veterinary services, animal welfare, nonprofit operations, social services, or a related field. Candidates with transferable experience from healthcare, education, community-based organizations, or other mission-driven environments are encouraged to apply. Valid California driver's license, reliable transportation, and proof of insurance. Experience managing multiple priorities, projects, and deadlines while maintaining a high level of organization and attention to detail. Strong written, verbal, and interpersonal communication skills. Proficiency with Microsoft Office, Google Workspace, databases, and other technology used to support program operations. Ability to build collaborative relationships with internal teams, community partners, volunteers, and service providers. Ability to work independently, exercise sound judgment, and adapt to changing priorities in a dynamic environment.   Preferred Qualifications: Experience working with people experiencing homelessness, housing instability, mental health conditions, substance use disorders, or other vulnerable populations. Experience working or volunteering in a veterinary clinic, animal shelter, animal rescue, pet food pantry, animal welfare organization, or other companion animal service program. Experience coordinating community events, volunteer programs, or outreach initiatives. Experience developing and maintaining community partnerships. Familiarity with trauma-informed, person-centered, and culturally responsive practices. Bilingual or multilingual skills    Work Environment: This position splits time between office, community, and event settings. Regular travel to agency sites, partner organizations, and community events is required. Occasional evening and weekend work is required to support scheduled events and program activities. The position may require working outdoors in varying weather conditions and in diverse community environments. Work may take place in busy, fast-paced, and occasionally loud settings. Staff regularly work in areas where they may encounter environmental conditions common to community-based outreach, including heat, cold, dust, noise, strong odors, and other outdoor elements. Frequent use of computers, standard office equipment, and mobile technology is required. The position requires the ability to sit, stand, walk, bend, and occasionally lift or carry materials weighing up to 35 pounds. Regular interaction with companion animals in veterinary clinics, shelters, community settings, and outreach events is expected. This role involves frequent interaction with people experiencing homelessness and other community members. Candidates should be comfortable working respectfully and compassionately in diverse environments and committed to providing person-centered, trauma-informed services.
