Senior Proposal Specialist

We are looking for a Senior Proposal Specialist who will be responsible for preparing timely, accurate, and competitive technical-commercial proposals for standard spare parts. This role ensures efficient handling of high-volume quotation requests, close collaboration with internal and external stakeholders, and consistent alignment with customer expectations and internal process standards. The Proposal Engineer plays a key role in maintaining proposal quality, improving turnaround time, and contributing to customer satisfaction.
Your responsibilities
Own the end-to-end proposal process for standard spare parts from RFQ receipt to quotation submission
Review customer inquiries and select appropriate spare parts using internal systems and reference tools
Collaborate with Sales, Customer Support, Engineering (where needed), and Supply Chain for quick input and validation
Ensure proposals are accurate, within target lead times, and aligned with pricing policies and discount structures
Handle high volumes of proposals while maintaining quality, consistency, and response time expectations
Work closely with the shared services team (if applicable) to streamline proposals and handover of orders
Track and improve proposal turnaround time (TAT), win ratio, and customer feedback
Ensure that proposals and related documents are stored and documented as per internal guidelines
Assist with export control classification, basic compliance checks, and data accuracy in proposal tools
Support follow-up on open quotes, order conversion, and overdue customer responses
Coordinate with Procurement for price and availability of non-stock or equivalent items
Contribute to proposal process improvement initiatives and documentation of standard work practices
Participate in system and tool enhancements related to standard parts quoting
Support training of new team members and promote consistent use of proposal tools and templates
Required skills
Bachelor’s degree in Engineering, Supply Chain, or related field
5+ years’ experience in a B2B operational, customer support, or supply chain role
Experience in mining, heavy industry, or industrial environments preferred
Strong analytical thinking and forecasting capability
Excellent communication and stakeholder management skills
Comfortable working cross-functionally in a structured environment
Fluent in English and Russian
