Job Description
POSITION SUMMARY
The Executive Assistant (EA) provides high-level administrative and strategic support to the President, ensuring smooth day-to-day operations, alignment on priorities, and consistent follow-through. This role acts as a trusted partner—managing schedules, communications, and workflows while using sound judgment to anticipate needs and support decision-making.
The EA takes a proactive approach to tracking commitments, synthesizing information, and keeping priorities on track. Success in this role requires discretion, emotional intelligence, and an awareness of the dynamics within a multi-generational, family-owned business.
MAJOR RESPONSIBILITIES
Executive Support & Communication
Draft and manage correspondence, presentations, and communications on behalf of the President
Screen and prioritize calls, visitors, and inbound communications using sound judgment
Review and summarize materials, highlighting key insights and implications
Ensure all communication reflects the President’s voice and leadership presence
Manage travel, expenses, invoices, and administrative processes
Provide team support and assist with special projects as needed
Maintain shared spaces and office resources
Calendar, Workflow & Priority Management
Manage a complex calendar aligned to business priorities and key stakeholders
Anticipate conflicts, adjust schedules, and protect time effectively
Track requests, commitments, and action items to ensure follow-through
Meetings, Reporting & Presentations
Prepare agendas, materials, and documentation for meetings, including operations meetings
Coordinate leadership meetings and ensure readiness and follow-through
Develop presentations and capture key decisions, actions, and next steps
Strategic Support & Enablement
Track progress on key initiatives and provide visibility into priorities
Anticipate needs for major events and leadership interactions
Conduct research and deliver concise, actionable insights
Identify risks, gaps, and opportunities and proactively flag them
ADDITIONAL CONTEXT (EA ROLE IN A FAMILY BUSINESS)
Maintain awareness of organizational history and context, helping ensure continuity and informed decision-making
Demonstrate sensitivity to family and leadership dynamics while maintaining professionalism and discretion
Support the President in balancing executive and family-facing responsibilities, ensuring clear and appropriate communication
Exercise care in navigating long-tenured relationships and informal influence structures across the organization
Serve as a steady, trusted presence—protecting confidentiality and upholding the reputation of the President and the business
POSITION REQUIREMENTS
4+ years of proven experience supporting senior executives in a fast-paced, professional environment
Bachelor's degree strongly preferred
Strong judgment with the ability to operate independently and anticipate needs
Highly organized with the ability to manage multiple priorities and shifting deadlines
Exceptional attention to detail and problem-solving skills
Demonstrated professionalism, discretion and ability to handle confidential information
Excellent written and verbal communication skills
Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)

The target salary for this position is $39/hr to $45/hr; however, we consider many factors when determining actual hiring salary. These factors may include location, transferable skills, work experience, licensure and certification, business needs, internal equity, and market demands.
