Position Summary:
The Payroll Manager is responsible for overseeing and executing end-to-end payroll operations for Calbee America’s multi-site workforce, including manufacturing plants and corporate employees across multiple states. This role ensures accurate, timely, and compliant payroll processing while serving as the subject matter expert for payroll systems and tax compliance.
The Payroll Manager partners closely with HR, Finance, Benefits, and external vendors to deliver a seamless employee payroll experience and maintain full regulatory compliance.
Key Responsibilities:
Payroll Operations:
Manage bi-weekly and semi-monthly payroll processing for exempt and non-exempt employees across all locations
Ensure payroll accuracy, timeliness, and compliance with federal, state, and local regulations
Maintain and optimize payroll processes, internal controls, and system configurations within HRIS (Dayforce preferred)
Reconcile payroll reports, general ledger entries, and payroll-related accounts
Serve as the escalation point for complex payroll issues, adjustments, and audits
Tax Compliance and State Payroll Regulations
Ensure compliance with all federal, state, and local payroll tax requirements
Manage tax registrations and setup for new states/jurisdictions as business needs evolve
Oversee year-end payroll activities including W-2s, W-3s, and applicable 1099 reporting
Serve as primary contact for payroll audits, tax notices, and agency inquiries
Monitor regulatory changes and proactively mitigate compliance risks
401(k) Support & Cross- Functional Partnership:
Support payroll-related 401(k) processes, including accurate deductions, contributions, and file transmissions
Partner with Benefits and external vendors to ensure alignment between payroll and retirement plan processes
Assist with audits and reporting by providing payroll data and documentation as needed
Process Improvement:
Identify opportunities for process improvements, automation, and data integrity enhancements
Partner cross-functionally with HR, Finance, IT, and site leadership to support business needs and drive efficiencies
Qualifications:
Bachelor’s degree in Accounting, Finance, Human Resources, or related field preferred
3–5 years of payroll experience, including multi-state payroll operations
Strong knowledge of payroll laws, tax regulations, and wage & hour compliance
Experience with HRIS/payroll systems (Dayforce preferred)
Advanced Excel skills and experience with payroll reporting tools
Strong attention to detail, organization, and problem-solving skills
Ability to manage multiple priorities in a fast-paced environment
Excellent communication skills with a strong customer-service mindset
