The University of Washington Counseling Center has an outstanding opportunity for a Program Assistant (Program Assistant (NE S SEIU 925 Non Supv)) to join their team.

About this Opportunity

Reporting to the Program Support Supervisor, the Program Assistant is responsible for providing a warm and supportive presence at the Counseling Center front desk. The Program Assistant welcomes students in for their mental health appointments, assists with scheduling, provides support to clinicians, and works on short and long-term projects. They fill a critical role at the center by setting the tone for students from the moment they engage with the Counseling Center.

This position serves on the UW Seattle campus and is eligible for 2x/week telework. Typical work schedule is 8-5, Monday through Friday.

Key Responsibilities

Front Desk Reception: 70%

  • Greet students and community members in a welcoming, professional manner at all times on phone and in-person;

  • Maintain highest standards of customer service;

  • Provide accurate information about center and related campus services;

  • Schedule appointments and route inquiries;

  • Maintain close communication with center leadership regarding center operations and staffing concerns, both verbally and over Microsoft Teams;

  • Coordinate effectively with other reception staff in managing breaks and providing coverage during planned or unplanned front desk staff absences.

Special Projects and Data Management: 20%

  • Data entry and file maintenance;

  • Develop reports, including graphically presenting data (tables, charts, etc.) and organizing materials for distribution;

  • Prepare complex reports as requested; 

  • Track and order office supplies and other materials as instructed; 

  • Meeting coordination, including managing logistics (researching and booking venues, catering orders, supplies, etc);

  • Special projects as assigned.

Insurance Navigation: 10%

  • Meet with students for one-on-one appointments to apply for Apple Health.

Minimum Qualifications

Applicants who do not meet these qualifications WILL NOT be forwarded to the Hiring Department.

  • High school graduation or equivalent

  • Two years of full-time clerical experience OR equivalent education/experience

Additional Qualifications

  • Excellent customer-service and communication skills

  • Ability to work effectively as a member of a team in an ethnically and culturally diverse university community

  • Capacity to multitask in a dynamic and fast-paced environment and respond professionally to students and community members, including those in distress

  • Ability to exercise judgment and collaborate effectively in the solution of practical problems relating to office operations and data collection

Preferred Qualifications

  • Experience working with students

  • Experience working in a healthcare setting

Compensation, Benefits and Position Details

Pay Range Minimum:

$45,288.00 annual

Pay Range Maximum:

$54,732.00 annual
