General Purpose of Job

 

The Receptionist serves as the first point of contact for Children’s Network of Hillsborough, providing a welcoming and professional experience for visitors, families, and community partners. This position is responsible for managing front desk operations, directing inquiries, and providing administrative support to ensure efficient office operations. The Receptionist plays an essential role in representing the organization with professionalism, courtesy, and confidentiality while supporting the agency’s mission to serve children and families in our community.

Essential Duties and Responsibilities

 

  • Front Desk Operations
    • Greet and welcome visitors in a professional and friendly manner.
    • Answer, screen, and direct incoming phone calls promptly.
    • Maintain visitor logs and issue visitor badges when required.
  • Administrative Support
    • Receive, sort, and distribute mail, packages, and deliveries.
    • Schedule and confirm appointments, meetings, and conference room use.
    • Provide clerical support, such as filing, photocopying, scanning, and data entry.
    • Provide assistance or coverage at various locations or events
  • Communication & Customer Service
    • Ability to communication clearly and effectively in both English and Spanish
    • Respond to inquiries in person, by phone, and via email.
    • Provide accurate information about the organization to clients, guests, and staff.
    • Handle basic complaints or direct them to the appropriate staff member.
  • Office Coordination
    • Maintain reception area cleanliness, ensuring a professional and welcoming environment.
    • Monitor and maintain office supplies inventory for front desk and common areas.
    • Assist with special projects and events as assigned.
  • Confidentiality & Professionalism
    • Protect sensitive information and follow confidentiality protocols.
    • Represent the organization with courtesy, professionalism, and discretion.
  • Perform other duties as assigned to support departmental and agency goals, as needed and appropriate to the position.

 

Working Hours

 

Children’s Network of Hillsborough’s standard business hours are 8:00 a.m. to 5:00 p.m., Monday through Friday. This position is an in-office based position that averages 40 hours per week. Work hours may vary outside of these standard hours, including evenings and weekends, as needed to meet operational demands. All hours worked will be compensated in accordance with the Fair Labor Standards Act (FLSA) and agency policies, including applicable overtime and other compensation requirements.

 

Travel

 

Travel in and outside of Circuit 13 (Hillsborough County) is required

 

Training

 

All employees are required to complete fifteen (15) hours of training annually, which may be completed online or in a classroom setting. Employees who hold a credential or license relevant to their position must ensure that all training and continuing education requirements are met to maintain their credential or licensure.

 

Supervisory Responsibilities

 

This position does not have supervisory responsibilities.

 

Education and Experience

  •  High school diploma or equivalent (G.E.D) required; preferred bachelor's degree
  •  Previous administrative or secretarial office experience

  • Proof of education is required
  • Valid driver’s license, with a clean driver’s license check, and proof of insurance
  • No special certification or registration is required for this position.
  • Criminal background screening (Local Law Enforcement, FBI/FDLE, and Abuse Registry)
  • Drug Screening is a requirement
  • Children’s Network participates in E-Verify

 

Other Requirements

Language Skills

The Receptionist must be able to communicate clearly and professionally in English, both verbally and in writing. Bilingual skills in Spanish are preferred to effectively interact with diverse families, staff, and community partners. The ability to provide basic translation and language support as needed ensures accessibility of services. Strong listening and comprehension skills are essential for accurately understanding and responding to inquiries.

 

Mathematical Skills

The Receptionist should possess basic mathematical skills necessary to perform daily office tasks accurately. This includes the ability to handle simple calculations, manage petty cash or reimbursements, track and record numerical information, and reconcile documents or forms as needed. Attention to detail and accuracy in numerical work is essential to ensure proper recordkeeping and support overall office operations.

 

Reasoning Ability

The Receptionist must demonstrate strong reasoning and problem-solving skills to handle a variety of situations independently and efficiently. This includes the ability to assess visitor needs, prioritize tasks, make sound decisions, and resolve minor issues or inquiries promptly. Critical thinking is essential for identifying potential problems, adapting to unexpected circumstances, and supporting smooth office operations while maintaining a professional and courteous demeanor.

 

Physical Demands

The physical demands of this position are generally moderate. The role may require extended periods of sitting, standing, and using a computer. Occasional lifting of office supplies, files, or materials up to 25 pounds may be required. Work Environment

This is an in-office-based position focused on administrative work, where the noise level may be moderate. This role requires travel among agency location and events, extended periods of computer work, and frequent interactions across multiple departments.
