Administrative Liaison - ALS Center - FT Days

Position Summary:  

 

The Corporate Administrative Liaison performs a wide range of secretarial and administrative support functions for the St. Peter's ALS ProgramThese include receptionist responsibilities, typing, all general clerical work, oversight of all office processes and ALS Clinic scheduling, registration and insurance verification. Communicates with other program sites, SPHP affiliates, and the publicIn addition, the Admin Liaison performs specific tasks designated by the ALS Operations Manager including supporting Administration, the ALS Medical Director, Quality Improvement/Education and Compliance administrators. Work involves management of multiple priorities, high-level word processing and other computer skills, ordering supplies , along with effective and efficient written and oral communication skills.  Works with highly confidential patient information. 

 

Education Requirements:  

  • High school Diploma (with a minimum of five years full-time office experience) 

 

Experience Requirements:  

  • Demonstrates clear communication and effective, positive interpersonal skills.
  • Demonstrates experience in and working knowledge of job appropriate computer systems including EMRs, Word processing (Microsoft Word-Office, Excel, PowerPoint, Outlook). 
  • Capability for managing multiple priorities.  

Principal Responsibilities: 

1.  Reception:  

  • Acts as first point of entry for public, department and staff telephone calls for the Organization.  
  • Screens and refers to all incoming telephone calls to appropriate persons/departments/regions. 

  • Follows up on any phone messages requiring immediate attention in absence of ability to refer call to the designated person. 

  • Provides wide range of information generated by questions from the public and other health care professionals 

  • Accepts initial referral information on ALS patients, forwards info to Intake Staff and processes information for admission to the program. 

  •                          

2Typing/ Data Input/Finance/Office Processes 

     -     Assumes responsibilities for wide range of typing/Excel projects:  

  • Types correspondence, reports, policies, contracts and forms and carries out all general clerical functions for department staff. 

  • ALS Medical Director/ALS Staff.  Supports ALS Medical Director and staff with office support related to outgoing and incoming patient referrals, clinic scheduling, setting meetings, agenda planning, distributes physician and nursing progress notes, faxes, scans and prescriptions appropriately to designated areas. 

  • Quality: Takes and types accurate minutes for internal staff meetings and Quality Improvement Patient Safety meetings, ensuring that agendas and materials are distributed appropriately for preparation to the meetings.  Supports the ALS Manager with QI /Edu/Compliance as it relates to recording PSQI information, data, sending out meeting schedules and agendas, and follow up where needed.  

  •  Enters information related to quality into appropriate databases and pulls reports needed for monthly and annual data upon request.  

  • Enters data into several databases related to program statistics.  

  • Assists ALS Manager with executing program expenses and revenue reports. 

  • Orders equipment and office supplies through Peoplesoft and obtains receipts needed for that reconciliation and provides tracking of all orders. 

  • Assists Community Liaison with opening of incoming monetary donations and preparing for sending by courier  to the Center for Philanthropy   

  • Provides verification of insurance, registration and EMR input for all ALS clinic patients  

  • Processes bereavement letters and oversees retention of deceased records for 8 years according to policy.  

  • Assists with the process of medical record requests, sends them out to requester and obtains needed records. Once all has been reviewed, maintains a record of when sent as well as keeping files on record.  

  • Provides assistance in orientation for all new employees and volunteers to ensure that employees/volunteers can access program resources and be oriented to office facilities and processes. 

  • Completes daily security of ALS Center through testing of emergency call systems, environmental rounding and medical record HIPAA compliance. 

  • Keeps computerized back up of information/processes, work projects on system network for future reference 

  • Responsible for maintaining an inventory of office supplies, ordering and stocking. 

  • Determines priority for assignments by deadlines. 

                                                                                             

3.   ALS Clinics  

    - Prepares upcoming schedules for weekly clinic review 

     - Oversees and documents changes in clinic schedules and distributes to staff appropriately and timely 

    - Registers all patients in EMR schedules 

     -Greets patients upon arrival , clarifying current information, obtains consents and collection of co-pays 

     - Checks patients in and out and schedules their next meeting                                                                                                       

4. Mail/Office Equipment Management:  

      -    Opens and sorts all incoming mail daily. 

  • Checks for incoming FAX and emails 3-4X daily along Distribution of FAX messages 

  • Posts required emails as directed 

  • Ensures that the copiers and fax machines are in good working order.           

 

Pay range: $20.20-$30.30

Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location
