
Receptionist/Administrative Assistant
Job Description
MGC Contractors, Inc is looking for a highly organized and personable experienced Receptionist/Administrative Assistant to manage front desk operations and provide administrative support to our team. This role will serve as first point of contact for clients and visitors, ensuring a professional and welcoming atmosphere while handling various office tasks.
PRIMARY RESPONSIBILITIES AND DUTIES
- Front Desk Management - Greet visitors, clients, and employees with a positive and friendly attitude. Answer phone calls, direct inquiries, and take accurate messages. Maintain a clean, organized and welcoming reception area.
- Administrative Support - Provide general administrative support, including filing, copying, scanning and mailing. Schedule and coordinate meetings, appointments and events. Manage office supplies and inventory, ensuring availability and restocking as needed. Handling all incoming and outgoing mail packages. Pick up Mail from the post office box. Create Job information lists for prelien requests.
- Customer Service - Greet and assist visitors, clients, subcontractors, and vendors in a professional manner ensuring a positive experience. Handle all inquires and concerns in a professional manner.
- Maintain a clean, organized, and welcoming reception area as well as all common areas (Kitchen, copy rooms, meeting rooms, etc.)
- Data Entry - Inputting and updating information into databases.
- Other duties as assigned, including but not limited to managing and distribution of sporting event tickets, coordinating lunch for meetings, and writing and mailing employee birthday cards.
PHYSICAL DEMANDS AND WORK ENVIRONMENT
- This position operates in a professional office environment that routinely uses standard office equipment requiring the ability to communicate in person and over the telephone with other employees, the ability to interpret printed materials and a computer screen, the stamina to maintain attention to detail despite interruptions, the ability to lift and carry supplies and files weighing up to 25 pounds and to move about the inside of the office to access supplies, office machinery, etc.
POSITION TYPE/EXPECTED HOURS OF WORK
- This is a full-time position. Occasional overtime may be required as job duties demand.
MINIMUM QUALIFICATIONS
- High School diploma or equivalent required, Associate's degree preferred.
- Any equivalent combination of experience and training that provides the requisite knowledge, skills and abilities.
- Proven experience as a receptionist, administrative assistant, or similar role required.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication skills both verbal and written.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook, Teams) required.
- Basic understanding of office equipment.
- Ability to multitask and manage time efficiently in a fast-paced environment.
- Strong interpersonal and communication skills and the ability to work effectively with a wide range of personnel in a diverse work community.
- Experience with certified payroll would be a plus.
- Must have reliable and available transportation
- Must possess a valid Arizona Driver's License.
