POSITION SUMMARY:
The Oncology Clinic Manager is responsible for the administrative and operational oversight of a small oncology clinic (=25 physicians). This role ensures the efficient, safe, and effective delivery of clinic operations by managing staff, workflows, resources, and facility needs. The position serves as the primary on-site administrative leader and is accountable for maintaining smooth daily operations and supporting high-quality patient care delivery.
CORE ESSENTIAL RESPONSIBILITIES:
- Directly manage the daily operations of the clinic, ensuring efficient patient flow, appropriate staffing, and effective coordination of services.
- Supervise clinic-based staff and non-clinical support staff; perform hiring, training, scheduling, performance management, and corrective action as needed.
- Provide day-to-day operational oversight of front desk and patient access functions in coordination with centralized leadership to ensure timely scheduling, registration, and patient throughput.
- Monitor clinic performance and workflow; identify operational issues and implement solutions to maintain efficiency and continuity of care.
- Develop, implement, and enforce standard operating procedures and workflows to support consistent and effective clinic operations.
- Prepare, manage, and monitor the clinic’s operating budget; authorize and oversee purchasing of supplies and equipment to support operations.
- Maintain appropriate inventory levels and ensure availability of clinical and administrative supplies necessary for uninterrupted operations.
- Oversee facility operations, including coordination of maintenance, equipment functionality, and environmental readiness of the clinic.
- Support billing and revenue cycle processes by ensuring accurate operational workflows and coordination with centralized billing functions.
- Ensure clinic operations comply with organizational policies, regulatory requirements, and applicable healthcare standards.
- Serve as the primary point of contact for on-site operational issues; facilitate communication between physicians, clinical staff, and administrative teams.
REQUIRED EDUCATION & EXPERIENCE
- Bachelor’s degree in healthcare administration, business administration, nursing, or related field (or equivalent experience).
- Minimum of 3 years of experience in healthcare operations, clinic management, or medical practice administration.
- Experience in oncology or specialty care setting preferred.
REQUIRED CERTIFICATES, LICENSE OR REGISTRATION
- Current, active Registered Nurse (RN) license or other relevant clinical licensure strongly preferred.
REQUIRED KNOWLEDGE, SKILLS OR ABILITIES
- Knowledge of outpatient clinic operations, patient flow, and healthcare administrative practices, including budgeting, supply management, and revenue cycle processes.
- Strong leadership and organizational skills with the ability to supervise staff, manage workflows, and prioritize competing demands.
- Effective communication and problem-solving skills to address operational issues and coordinate across clinical and administrative teams.
- Ability to analyze processes, implement improvements, and ensure efficient clinic operations.
- Ability to make sound decisions, maintain attention to detail, and adapt to changing operational needs.
