Position Overview
We are seeking a highly organized, proactive, and adaptable administrative professional to support business operations across a variety of functions. This role is designed for professionals at different stages of their administrative career; from developing coordinators to seasoned executive support specialists, who can bring structure, efficiency, and strong communication into fast-moving environments.
The ideal candidate is detail-oriented, resourceful, and capable of managing multiple priorities while supporting internal teams, leadership, and external stakeholders. This role will play a key part in keeping operations organized, improving workflows, and ensuring administrative excellence across day-to-day activities and special projects.
Key Responsibilities
Administrative & Executive Support
Manage calendars, appointments, meetings, and scheduling for teams and leadership.
Coordinate travel arrangements, logistics, and meeting preparation.
Prepare, edit, and format reports, presentations, correspondence, and business documentation.
Organize and maintain digital filing systems while ensuring confidentiality and accuracy.
Support inbox management and respond to internal and external communications professionally.
Project Coordination & Operational Support
Track project timelines, deliverables, and follow-up items.
Coordinate meetings, agendas, and documentation across teams.
Support onboarding, events, and operational initiatives.
Maintain databases, records, and reporting systems.
Identify and implement opportunities for workflow and process improvements.
Systems & Technology Support
Utilize Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for business operations.
Support collaboration through virtual meeting platforms and cloud-based tools.
Work within project management tools such as Asana, Monday.com, Smartsheet, or similar systems.
Assist with reporting, dashboards, and workflow management.
Required Qualifications
CAP certification preferred but not required.
Associate’s degree or equivalent professional experience.
Experience in administrative support, executive support, office coordination, operations support, or related functions.
Strong proficiency in Microsoft Office Suite.
Excellent written and verbal communication skills.
Strong organizational and time management skills.
Ability to manage multiple priorities and deadlines.
High attention to detail and professionalism.
Ability to work independently and take ownership.
Preferred Qualifications
Experience supporting senior leadership or executives.
Experience managing multiple teams, clients, or departments.
Familiarity with project management systems and operational workflows.
Experience in consulting, contract, or fast-paced business environments.
Exposure to process improvement and operational efficiency initiatives.
