Role Overview:
6-Month Contract role - East Coast Hours (9am-5pm)
This contract role is built for someone who genuinely enjoys the puzzle of a packed calendar, takes pride in a flawlessly booked trip, and believes no task is too small if it keeps the team running smoothly. You'll work directly in support of the Executive Assistant, helping them support the executive leadership team; you'll provide scheduling support for client-facing teams, and tackle ad hoc administrative tasks for the People Ops team along the way.
Key Responsibilities
Calendar & Scheduling
Support the Executive Assistant in managing complex, frequently changing executive leadership calendars.
Handle external scheduling for Client facing teams.
Travel & Expense Coordination
Assist in coordinating domestic travel and accommodations.
Manage the monthly expense reports for Executive Leadership, receipts, and reimbursement workflows accurately and on time.
Event & Onsite Logistics
Support onsite events and team gatherings, including booking meeting spaces, coordinating accommodations, managing catering, and researching venues for team dinners, client meetings, and happy hours.
Support & Coverage
Provide coverage for the Executive Assistant during out-of-office periods, ensuring continuity of support.
Collaborate effectively with a wide range of levels, personalities, perspectives, and communication styles.
Assist the People Operations team with various administrative projects as they arise.
Handle highly sensitive and confidential information with the utmost discretion at all times.
Qualifications
Prior experience in an administrative support role.
Prior experience at a startup or small tech company
Demonstrated experience managing complex calendars.
Demonstrated experience supporting onsite events, meeting logistics, and venue research.
Qualifications:
Exceptional attention to detail and a high standard of accuracy.
Strong internal and external scheduling skills, including managing complex, frequently changing calendars.
Proficiency in Microsoft Outlook and Slack.
Highly organized, with the ability to thrive in a fast-paced, evolving environment.
Effective prioritization skills and a proven ability to meet deadlines.
Adaptable, able to adjust quickly as business needs change.
Strong follow-through across multiple concurrent priorities.
Compensation:
The base hourly range for this role is $25-$35. We expect the ideal candidate to fall near the midpoint of this range, though final compensation will be determined based on experience, skills, and organizational needs.
Work location: This is a fully remote role based in the United States.
