Salary Range ($48,300-$64,400) - Multiple factors, including Individual experience, skills, and abilities will determine where an employee is ultimately placed in the pay range. Variable pay may provide additional opportunities for financial awards. This job is eligible to participate in IP’s short–term incentive plan.
The Administrative Specialist reports directly to the Office Manager. Valliant is a 5,000 ton per day containerboard mill with 3 paper machines, 3 continuous digesters, 3 secondary fiber plants and a utilities/chemical recovery complex. It currently operates with 350+ mill employees and 150 contract maintenance employees in a results-oriented environment.
This position provides a variety of administrative and staff support services, serves as administrative expert on programs, projects, and processes supporting mill-wide efforts, schedules meetings, coordinates meals, and schedules travel. Additionally, this position provides data analysis and communication, which supports assigned team.
Responsibilities (include but are not limited to):
- Data entry into various systems
- Update, track & communicate monthly/quarterly metrics
- Exporting reports to Excel
Support Annual Outage Coordination
Update the Mill SharePoint page as needed
- Proactively look for opportunities to help team get more efficient and better organized
- General administrative task such as meeting planning, food orders, filing, task tracking, etc.
- Purchase supplies for the department and reconcile purchase statements
- Maintain and update ECR Weekly Operator Schedules
Qualifications:
B.S. degree or equivalent work-related experience
Must have demonstrated track record of success in working in a team environment with focus on safety and results
Ability to understand technical metrics and how to calculate
Ability to analyze, sort and present data to convey information
Candidate must have a sense of urgency in response to rapidly changing and complex priorities
Excellent interpersonal and strong communication skills (verbal and written)
Time management and organizational skills with attention to detail
Ability to work under pressure and handle multiple priorities with minimal supervision.
Strong computer knowledge and skills in standard applications, i.e., Microsoft Office (Excel, Word, and PowerPoint)
- Demonstrated event planning skills including facilitating, planning, organizing, implementing, tracking and budgeting
