About This Job
The main purpose of this job is to provide administrative and operational assistance to the trust administrator in managing trust accounts. Performs various operational functions within the trust department, with a focus on account set-up/transfer and asset reconciliations, transactional processing, record keeping, and tax and portfolio accounting functions. Processes daily transactions. Enhances the client experience by providing excellent operational support.
Essential Functions
Provide daily trust administration and investment support in a growth-oriented and team-focused and transformational environment
Use trust account/custodian systems to process daily transactions, such as ACM sweeps, post cash receipts and disbursements, print checks and execute tax cost adjustments and transaction reversals
Pay bills for clients and monitor accounts to avoid overdrafts
Support the discretionary distribution process and process client gifts
Assist in the timely and accurate set up of new accounts; input data and monitor the new account process, including but not limited to, processing and tracking free receipts of assets with accurate tax costs; scan documents into the imaging system
Implement and monitor the account closing process to ensure timely account distribution.
Serve as an alternate contact for clients and outside professionals; documents client communications on the contact management system and assist in coordinating proactive communications
Perform other duties as assigned
Knowledge, Skills & Abilities Required
Strong knowledge of operational efficiency principles, productivity enhancement, internal controls, compliance requirements, and process improvement methodologies
Demonstrated ability to drive process improvements and ensure adherence to internal controls and regulatory standards
Motivated and organized self-starter with strong attention to detail and the ability to manage multiple priorities
Inquisitive, agile, and strong team player with excellent written, verbal, and interpersonal communication skills
Ability to remain adaptable and resilient to all situations with an optimistic outlook and cast a positive shadow that is aligned with our culture and Core Values
Basic level proficiency with Microsoft Word, Excel, Teams, and Outlook
Education & Experience
Associate’s degree or equivalent combination of education and experience required. Bachelor’s degree preferred.
2+ years experience providing transactional banking services to clients, or administrative/operational support to trust administration required
Trust and/or asset management/private banking institution experience preferred
Experience with Trust Desk platform preferred
