Overview About the Opportunity Epsilon is seeking a highly organized, forward-thinking, and operationally minded Senior Project Coordinator to join the Shared Marketing Services (SMS) team. This is a hybrid role that blends the campaign execution and cross-functional coordination skills of a Client Account Executive with a stronger focus on operational excellence, process improvement, and automation — without the client-facing or financial/P&L responsibilities of the Account Executive track. The Senior Project Coordinator will manage and coordinate small-to-mid scale projects and campaigns from intake through delivery, while actively contributing to the team's evolution: streamlining workflows, identifying automation opportunities, building documentation, and helping take our processes to the next level. The ideal candidate is a curious problem-solver who thrives on bringing order to complexity, sees inefficiency as an opportunity, and is energized by tools like Workfront, Visio, and AI-powered productivity platforms. This role is designed for someone who wants to make an outsized impact behind the scenes — supporting account teams, functional groups, and leadership by ensuring projects run smoothly and that the way we run projects keeps getting better. Responsibilities Project & Campaign Coordination Manage day-to-day execution of small-to-mid scale multi-channel marketing programs (direct mail, email, digital, landing pages, data) ensuring accurate, timely, and high-quality delivery — without serving as the client point of contact. Develop and maintain project schedules and timelines in conjunction with cross-functional teams, possessing minute-by-minute knowledge of work in progress. Traffic projects internally, ensuring proper approvals, sign-offs, and handoffs at each stage of the project lifecycle. Coordinate kick-off meetings with internal account, creative, data, production, and analytics teams to align on briefs, scope, and expectations. Manage Change Requests and proactively alert management of risks, scope changes, or barriers impacting timelines. Partner with functional groups and third-party vendors to ensure accurate execution, including coordinating QC checkpoints at every stage of production. Operational Excellence & Process Improvement Identify bottlenecks and inefficiencies in current workflows and recommend practical solutions to streamline execution, reduce risk, and accelerate speed to market. Contribute to and lead targeted process improvement initiatives — from documenting current state to designing future-state workflows. Build and maintain process documentation, including cross-functional process flows (Visio), intake forms, SOPs, templates, and training materials. Write clear, concise business and data requirements detailing inputs, outputs, processing rules, and personalization logic for campaign execution. Surface systemic issues to leadership with proposed solutions, supporting a culture of continuous improvement. Automation & Tools Enablement Support the build-out and ongoing optimization of Adobe Workfront as the team's core project management platform — including template creation, project plan structure, intake form design, and reporting. Identify automation opportunities across the team's workflows and partner with stakeholders to map and implement solutions (e.g., Power Automate, Copilot Studio, Workfront Fusion, Salesforce integrations). Leverage AI-powered productivity tools (Microsoft Copilot, ChatGPT, etc.) to streamline documentation, communication, and routine coordination tasks — and help the broader team adopt these capabilities. Maintain and evolve trackers, dashboards, and reporting that provide visibility into team capacity, project status, and operational health. Cross-Functional Collaboration Act as a liaison between internal teams (account, creative, data, production, analytics, finance) and partner agencies/vendors to define and execute campaign requirements. Prepare well-organized, clear, and concise internal communications for both technical and non-technical audiences. Support post-program evaluations and share learnings, results, and recommendations with internal stakeholders. Technical Requirements Adobe Workfront experience preferred (project plans, templates, custom forms, reporting) Microsoft Visio or equivalent process-flow/diagramming experience required Microsoft Office Suite proficiency (Excel — including pivot tables and formulas — Word, PowerPoint, Outlook) Business requirements writing experience (DBRDs, process docs, intake forms) Salesforce CRM experience a plus Microsoft Power Platform (Power Automate, Power Apps) and/or Copilot Studio familiarity is a plus AI productivity tools (Microsoft Copilot, ChatGPT) — willingness and curiosity to adopt for workflow automation and content generation Familiarity with PDF editing tools (Adobe Acrobat preferred) Qualifications Associate's or Bachelor's degree preferred — or an equivalent combination of education and experience. Minimum 2–4 years of related professional experience in marketing operations, project coordination, campaign execution, business systems analysis, or a related operational role. Direct mail, email, and/or digital marketing experience required; automotive industry experience strongly preferred. This is the pay range the Company believes it will pay for this position at the time of this posting.
