Referral Coordinator – Lifemark Father David Bauer Arena
Location: 2424 University Drive NW, Calgary, AB, T2N 3Y9
Status: Permanent Full Time
Expected Schedule: 9:00 a.m. to 5:30 p.m. with flexibility for coverage

Qualifications & Core Competencies
The ideal candidate will have:
- High School Diploma or equivalent required; post-secondary education in Medical Office Administration or related field is an asset
- Strong organizational and multitasking skills in a fast-paced environment
- Knowledge of third-party funding programs (MVA, WCB, LTD, PCVRS, PCI, GAIT)
Excellent communication and stakeholder management - High attention to detail
- Ability to manage multiple priorities
- Previous experience in a physiotherapy or multidisciplinary healthcare clinic is considered a strong asset
Core Responsibilities
- Referral & Intake Management
- Manage and triage incoming referrals for MVA, PCVRS, LTD, PCI, Gait and OPPT WCB programs
- Coordinate intake and ensure timely scheduling of services through multiple channels (eg: Email inboxes, RMS, CareHub)
- Assign case management tasks for outpatient and interdisciplinary programs
- Maintain referral tracking systems and workflows
- Scheduling & Care Coordination
- Book and coordinate multidisciplinary services (Psychology, OT, Kinesiology, Physiotherapy, specialized services – Vestibular therapy, Pelvic, PCI, Gait)
- Engage appropriate providers based on program requirements and provider specialized training
- Maintain treatment counts and monitor utilization within approval timelines
- Support interdisciplinary service coordination
- Program Administration
- Manage approvals and authorizations
- Submit reports and required documentation
- Track treatment plans
- Ensure adherence to program guidelines
- Maintain communication with providers
- Billing & Financial Processing
- Post charges for PCVRS, LTD, PCI & GAIT
- Submit claims through EHC portals & document in LPS for MVA and LTD as required
- Complete sundry billing (e.g., WCB) based on tracking sheet
- Ensure accurate and timely invoicing for OPPT WCB, PCI & GAIT
- Communication & Stakeholder Coordination
- Act as primary contact for patients, referrers, and case managers
- Communicate updates on treatment, approvals, and scheduling with providers and patients
- Collaborate with internal teams and external coordinators from other clinics.
- Quality Assurance & Compliance
- Review and QA/QC MVA & OPPT WCB reports prior to submission
- Ensure documentation meets funder standards
- Maintain compliance with program requirements and policies
- Systems & Administrative Support
- Maintain tracking systems for referrals, approvals, and billing
- Add/update provider profiles in EHC
- Support clinic operations and provide CC coverage as needed
