Job Purpose
We are seeking an organised and detail-oriented Transport Clerk to support the effective planning and coordination of transport operations. The role is key to ensuring timely vehicle scheduling, driver allocation, and route planning for both internal teams and external customers.
Key Responsibilities
Maintain a comprehensive understanding of transport and operational procedures
Plan and schedule deliveries in line with Service Centre and third-party requirements, ensuring driver rota compliance
Prepare and issue driver documentation, including maps, uplift notes, and vehicle check sheets
Review driver timesheets for accuracy, including vehicle details and shift timings; escalate discrepancies promptly
Debrief drivers at the end of shifts, ensuring all paperwork and PODs (Proof of Delivery) are returned and complete
Brief agency staff before shifts, providing all required documentation and equipment (fuel cards, gate passes, etc.)
Record agency hours and ensure timely submission to Payroll
Process tachograph data, ensuring compliance with relevant legislation and reporting any issues
Analyse tachograph charts and produce infringement reports
Calculate weekly fuel performance (MPG) for hire vehicles and report to management
Update daily Fleet KPIs, including fuel usage, mileage, and costs
Accurately input wage data from driver timesheets and submit to Payroll within deadlines
Monitor driver hours against Working Time Directive requirements
Ensure PODs are submitted to Head Office to support debt reduction processes
Order driver uniforms in line with company approval and purchasing procedures
Maintain an organised and accessible filing system
Support wider transport administration functions as required
Provide clear handovers for holiday cover
Welcome visitors professionally and ensure compliance with Health & Safety procedures
Maintain a clean, organised office environment and proper document archiving
Escalate any issues requiring management attention
Adhere to all Health & Safety policies and standards
