GREEN ROOM COORDINATOR
DEPARTMENT: Feinstein’s at Hotel Carmichael
REPORTS TO: Director of Entertainment / General Manager
STATUS: Non-Exempt
POSITION SUMMARY:
The Green Room Coordinator is responsible for managing all performer hospitality, and backstage operations for artists appearing at Feinstein’s at Hotel Carmichael. This role serves as the primary liaison between performers, agents, management teams, hotel departments, and venue operations to ensure a seamless and exceptional artist experience from arrival through departure.
The Green Room Coordinator is responsible for fulfilling hospitality riders, managing green room readiness, facilitating communication among departments, and supporting the successful execution of all performances while maintaining the high standards of service associated with Coury Hospitality and Feinstein’s.
PRIMARY JOB DUTIES:
• Serve as the primary point of contact for performers, agents, managers, and production teams before and during engagements.
• Coordinate performer arrival, rehearsal, soundcheck, performance, meet-and-greet, and departure schedules.
• Prepare and maintain detailed artist itineraries and distribute schedules to appropriate hotel and venue departments.
• Ensure all green rooms and backstage areas are properly prepared, stocked, and maintained according to artist rider requirements.
• Coordinate artist hospitality needs, including food and beverage requests, transportation, accommodations, and special arrangements.
• Work closely with Food & Beverage, Hotel Operations, Front Office, Audio/Visual, Security, and Feinstein’s teams to ensure seamless performance execution.
• Monitor and fulfill contractual hospitality requirements and artist rider specifications.
• Facilitate communication between performers and venue management regarding schedule changes, special requests, and operational needs.
• Welcome artists upon arrival and provide on-site support throughout their engagement.
• Coordinate backstage access and assist with performer credentialing when applicable.
• Maintain accurate records of artist schedules, hospitality requests, contracts, and performance-related documentation.
• Assist with the coordination of VIP experiences, meet-and-greet events, and special guest interactions.
• Anticipate performer needs and proactively resolve issues to ensure a positive artist experience.
• Respond promptly and professionally to last-minute changes and operational challenges.
• Ensure adherence to venue policies, safety procedures, and confidentiality standards.
• Support special events and entertainment programming as assigned.
Additional tasks and responsibilities may be assigned at the discretion of management. Furthermore, tasks and responsibilities may be added or revised based on the volume of business and operational needs.
KNOWLEDGE, SKILLS, AND ABILITIES:
• High school diploma or equivalent required; Associate’s or Bachelor’s degree in Hospitality, Event Management, Music Business, Communications, or related field preferred.
• Previous experience in entertainment venue operations, artist relations, hospitality, event coordination, theater operations, or hotel operations preferred.
• Exceptional communication, interpersonal, and organizational skills.
• Ability to manage multiple schedules, priorities, and deadlines in a fast-paced environment.
• Strong customer service mindset with the ability to build professional relationships with performers and guests.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Excellent problem-solving skills and ability to remain calm under pressure.
• Proficiency with Microsoft Office and scheduling software.
• Flexible schedule with the ability to work evenings, weekends, holidays, and performance hours.
PHYSICAL DEMANDS:
• Ability to stand and walk for extended periods.
• Ability to lift up to 25 pounds occasionally.
• Ability to navigate backstage, performance, and hotel environments.
• Ability to work flexible hours, including nights, weekends, holidays, and special events.
