We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support to our Sales Leadership Team. This role serves as a key business partner, helping drive efficiency, communication, and execution across a fast-paced sales organization. The ideal candidate is a self-starter who thrives in a dynamic environment, can anticipate needs, manage competing priorities, and maintain confidentiality while supporting multiple stakeholders.This role supports multiple Sales Sector Vice Presidents and requires strong communication, and coordination across a fast paced environment.
This is a fully remote position, with a preference for candidates located on the East Coast to ensure alignment with business hours and collaboration across the sales organization.
Key Responsibilities
Executive & Administrative Support
- Provide day-to-day administrative support to sales executives and leadership team members.
- Manage complex calendars, schedule meetings, and coordinate internal and external appointments.
- Organize and coordinate travel arrangements, including flights, hotels, transportation, and itineraries.
- Prepare and process expense reports in a timely and accurate manner.
- Prioritize and manage incoming communications, ensuring timely follow-up and action items.
- Primary focus areas include executive scheduling, travel coordination, communication support, and leadership meeting execution / follow ups.
- Additional project coordination responsibilities will be prioritized in alignment with business and leadership needs / bandwidth
Sales Team Coordination
- Support sales leadership with meeting preparation, presentations, agendas, and follow-up actions.
- Coordinate sales meetings, leadership meetings, customer visits, and virtual events.
- Support coordination and follow-up of key leadership initiatives, including meeting action items, timelines, and communication tracking.
- Maintain sales team organizational charts, contact lists, and communication distribution groups.
- Support onboarding activities for new sales team members.
Communication & Reporting
- Draft, proofread, and distribute professional communications on behalf of sales leadership.
- Prepare reports, presentations, and executive summaries using data from various sources.
- Support preparation and formatting of leadership reports, presentations, and sales updates provided by Sector VP’s.
- Coordinate cross-functional communication between Sales, Marketing, Operations, Finance, and Human Resources.
Project & Event Management
- Assist with planning and execution of sales conferences, customer events, trade shows, and leadership meetings.
- Track project milestones and provide status updates to stakeholders.
- Support special projects and strategic initiatives as assigned.
Qualifications
Education & Experience
- Associate’s or Bachelor's degree preferred.
- 5+ years of experience supporting senior leaders, executives, or sales organizations.
- Experience supporting remote teams and multiple stakeholders preferred.
- Previous experience in manufacturing, technology, distribution, or business-to-business (B2B) environments is a plus.

- Experience with CRM systems such as Salesforce, HubSpot, or similar platforms is preferred.
- Ability to work independently with minimal supervision while maintaining strong collaboration across teams.

In compliance with pay transparency requirements, the anticipated starting pay for new hires for this position is between $80,000-$100,000 USD per year. Full-time employees are also eligible for performance-based bonuses and benefits. This is not a guarantee of compensation or salary, as a final offer amount may vary based on factors including but not limited to experience, education, location, and shift. The specific programs and options available to an employee may vary depending on the date of hire, schedule type, and hours worked.
