Job Description
The Lease Coordinator supports daily lease administration and corporate real estate database management activities, including lease abstraction, document management, monitoring of critical lease dates, and IFRS 16 lease accounting requirements. This role ensures the accuracy and integrity of lease and property data through regular validation, self-audits, and close collaboration with local offices and controllers.
In addition to operational responsibilities, the role contributes to management reporting, dashboard delivery, audit and control activities, and knowledge management. The Lease Coordinator actively participates in operational, tactical, and strategic initiatives, supporting continuous process improvement and ensuring timely, accurate, and compliant service delivery across the Asia Corporate Real Estate function.
Position Responsibilities:
- Manage daily lease administration activities, including lease abstraction, data entry, and database updates in Tririga
- Maintain and validate lease and property data to ensure accuracy, completeness, and compliance (including IFRS 16 requirements)
- Monitor critical lease dates (e.g., expirations, renewals, terminations) and support timely execution of actions
- Review and upload executed lease documents, amendments, and agreements into the system
- Coordinate with local offices/controllers to secure contracts, validate lease data, and ensure accurate rent, charges, and tax records
- Maintain property and tenant information, including unit details, floor areas, and contact information
- Perform self-audit and peer review to ensure data quality and adherence to controls and standard processes
- Support incident management, issue resolution, and escalation handling
- Assist in preparation of management information (MI) reports, including data gathering, validation, and cleansing
- Update and enhance business dashboards, including simple to moderately complex data structures
- Ensure timely submission of daily KPIs, metrics, and operational deliverables
- Participate in global and local stakeholder meetings, service reviews, and team calibration sessions
- Contribute to audit and control activities, including peer checks and continuous improvement recommendations
- Support implementation and maintenance of data management systems and records
- Develop and update process documentation and procedures to support knowledge management
- Participate in operational, tactical, and strategic initiatives aligned with Corporate Real Estate priorities
- Perform ad hoc tasks as assigned by the Asia Real Estate Business Unit and IFRS group
Required Qualifications:
- At least 2 years of relevant experience in Lease Administration, Corporate Real Estate, or related fields
- Bachelor’s degree in a business-related course
- Intermediate proficiency in MS Office tools (Excel, Word, PowerPoint)
- Working knowledge of lease administration and data management processes
- Strong analytical skills with high attention to detail and data accuracy
- Excellent English communication skills (written and verbal)
- Ability to manage multiple priorities and meet tight deadlines with accuracy
Preferred Qualifications:
- Advanced knowledge of Corporate Real Estate and Lease Administration
- Experience with IFRS 16 lease accounting requirements
- Familiarity with Tririga or other real estate/lease management systems
- Exposure to Transaction Management, Facilities Management, or related disciplines
- Experience with Power BI, PowerApps, Power Automate, SharePoint, or robotics tools
- Knowledge of platforms such as Yardi, Lawson, or similar systems
- Background in data analysis, financial analysis, or contract/lease management
- Strong understanding of risk and controls, including audit and compliance processes
