Job Description

Hogan Lovells Cadwalader is seeking an experienced, full-time Executive Assistant for our Charlotte office. As a vital member of the team, this role is dedicated to delivering exceptional client service while enabling our attorneys to focus on client work. The Assistant performs a broad range of essential administrative and organizational tasks, consistently producing high-quality work and providing outstanding support to the Office Managing Partner of the Charlotte office as well as a group of attorneys at the Firm.

Responsibilities:

  • Establish and maintain heavy calendar and deadline reminder systems; Coordinate internal and external meetings.
  • Read, sort and prioritize incoming email.
  • Make travel arrangements.
  • Prepare and manage expense reimbursements by using Chrome River.
  • Input attorney time entries into InTapp system; work closely with Billing Department.
  • Work closely with Business Development team.
  • Responsible for input of correspondence, memoranda, legal documents and forms utilizing Microsoft Word.
  • Screen telephone calls, accurately recording and relaying telephone message.
  • Observe confidentiality of client matters.
  • Maintain department files.
  • Operate standard office equipment including copiers and scanners.
  • Perform other related duties, as assigned.

Knowledge, Skills & Abilities Required:

  • Three (3) to five (5)+ years of administrative experience.  
  • Knowledge of Microsoft Word and Excel.
  • Ability to proofread typed material for grammatical, typographical and spelling errors.
  • Necessary interpersonal skills and superior command of English language in order to communicate and follow instruction effectively. 
  • Strong organizational skills.
  • Availability to work overtime when needed.
  • Bachelor’s degree preferred.
