Sales Coordinator, Group
Position Summary
The Group Sales Coordinator is an integral member of the Sales Office, supporting the Director of Group Sales and Group Sales Managers in achieving departmental revenue goals while delivering an exceptional level of service consistent with Montage’s commitment to creating unforgettable experiences. This role serves as a key liaison between clients, internal departments, and the sales team, ensuring each interaction reflects the brand’s “Hospitality with Heart” philosophy and dedication to personalized, intuitive service.
Key Responsibilities
- Deliver exceptional, anticipatory service to clients and their guests, supporting both third-party and direct group bookings with professionalism, warmth, and attention to detail reflective of the Montage brand.
- Serve as a central point of coordination for group sales activities, ensuring seamless communication between clients, Sales Managers, and resort departments to execute programs flawlessly.
- Foster strong internal relationships across all departments, promoting collaboration and accountability to ensure each client experience is executed to the highest standard.
- Build and nurture long-term client relationships by understanding their preferences, anticipating needs, and consistently exceeding expectations.
- Act as an “inside sales” liaison, managing inquiries, supporting lead response, and maintaining engagement with clients in the absence of a Sales Manager, ensuring continuity and responsiveness at all times.
- Support the planning and execution of client site visits, sales trips, and tradeshows, ensuring each touchpoint reflects the luxury positioning of the resort and leaves a lasting impression.
- Maintain accurate and detailed account activity in Delphi and other systems, ensuring all client interactions, preferences, and opportunities are thoughtfully documented and leveraged to enhance future experiences.
- Uphold the integrity and presence of the Sales Office throughout the resort, acting as an ambassador of the Montage culture and brand values in all internal and external interactions.
- Assist with administrative and operational tasks to ensure the success, efficiency, and alignment of the Sales Office.
Qualifications
- Bachelor’s degree preferred.
- Minimum of two (2) years of experience in a luxury hotel or hospitality environment, with a strong service foundation.
- Exceptional communication skills, both written and verbal, with the ability to confidently engage with discerning clients and internal stakeholders.
- Demonstrated ability to anticipate guest needs, resolve concerns with empathy and professionalism, and deliver service recovery when needed.
- Highly organized and detail-oriented, with the ability to manage multiple priorities while maintaining a polished and composed presence.
- Self-motivated with the ability to work independently, while contributing positively to a collaborative team culture.
- Proficiency in Microsoft Office (Word, Excel) and Delphi or comparable sales systems; experience with account management, tracking, and reporting required.
- Strong analytical and problem-solving skills, including basic budgeting and financial awareness.
Physical Requirements
- Majority of work is conducted in an indoor office environment with moderate noise levels.
- Requires prolonged periods of sitting, along with walking and standing throughout the resort as needed.
- Must be able to travel throughout the property to support site visits, meetings, and operational needs.
- Ability to lift up to 15 pounds on occasion.
- Frequent use of hands for typing, writing, and operating office equipment, along with continuous communication requiring speaking, listening, and visual acuity.
The pay scale for Sales Coordinator is $25.00
The pay scale is the base salary or hourly wage range, exclusive of incentive pay such as commissions, piece rates, gratuities, and the like, that Montage reasonably expects to pay for the position.
