About the Job:  The Records & ID Division with CSPD is looking for a detail-oriented person to provide direct support and coordination for the processing, tracking, and release of all criminal justice records requests (CCJRA requests) for the Colorado Springs Police Department.

Work Schedule:  Work hours and days can vary based on need. Typical hours are Monday through Friday, 8 a.m. to 5 p.m.  Must be able to schedule adjust or work overtime as necessary.

This position is subject to budget required furloughs to be implemented in the 2026 calendar year.

As a Records Request Coordinator, you will:

  • Receive, review, and triage incoming requests for criminal justice records, ensuring requests are complete, properly documented, and submitted under applicable laws and department policies. 
  • Determine the appropriate processing path for each request based on record type requested. 
  • Monitor and coordinate the progress of all assigned requests to maintain compliance with any statutory deadlines, department service-level standards, and quality expectations.
  • Release approved records to authorized requesters through appropriate channels, ensuring proper documentation and regulatory compliance.
  • Provide guidance to internal staff and the public regarding records request procedures, timelines, and legal requirements.
  • Maintain detailed logs, tracking sheets, and case management entries to document request status, actions taken, and release decisions.
  • Assist in developing, improving, and implementing workflows, policies, and best practices to enhance efficiency, compliance, and customer service.
  • Participate in training new staff on triage processes, document handling, and release standards.
  • As required, help in the redaction of records in accordance with state law and department policy.

Knowledge, Skills and Abilities:
  • Knowledge of modern office procedures, methods, and equipment, including computers and supporting software.
  • Knowledge of proper English usage, spelling, punctuation, and grammar.
  • Ability to communicate clearly and concisely, orally and in writing.
  • Ability to de-escalate customers and situations as necessary.
  • Clear understanding of Colorado open records laws and the Colorado Criminal Justice Records Act. 
  • Ability to work in a fast-paced and dynamic environment.
  • Ability to accurately process complex, large, or routine requests without missing crucial details.
  • Ability to maintain extreme confidentiality and work with sensitive, restricted data.
  • Equivalent to completion of the twelfth grade (high school diploma or GED).  
  • Five years of full-time professional experience in a related field.  
  • Must possess or obtain with six (6) months of hire Commission as a Colorado Notary Public 

  • Must possess or obtain within three (3) months of hire CCIC/NCIC certification.

Education and Experience Equivalency: One year of relevant work experience may be substituted for one year of required education (OR) one year of academic coursework directly related to this position beyond the minimum requirement may be substituted for one year of required professional experience.

  • Three years of full-time responsible public safety records, or paralegal experience. 

  • Proficiency with Microsoft Office Suite, Axon Systems, Tyler Technologies public safety-related software programs, and Acella applications.

This position is subject to budget required furloughs to be implemented in the 2026 calendar year, and any furloughs subsequently approved.

Pre-employment Requirements: The job offer will be contingent upon successful completion of an extensive background investigation, to include a polygraph examination, fingerprinting, extensive background check, criminal history check, and other pre-employment assessments. The background investigation process commonly takes 6-8 weeks to complete.
