Portico has an amazing opportunity to join our team as a RESIDENT ACCOUNT SPECIALIST! This position will support multiple communities throughout Portico.

Job Summary
As the Resident Account Specialist, you will support the Company’s goals related to the financial facets of onsite operations by completing accounting for rents paid, bookkeeping to ensure resident records are correct, handling delinquent residents, reviewing, and approving the Final Accounting Statements (FAS), preparing, and filing legal and formal documents plus other financial responsibilities related to an assigned portfolio of communities. Additionally, you will generate and follow up on lease renewals, prepare pre-close and financial close out, ensure accuracy of all payables, and will be responsible for resident communications and related accounting and financial transactions as necessary. Additional responsibilities may also include partnering directly with communities on various issues, as well as reviewing resident collection files for proper documentation and verifying all documentation is accurate and complete to ensure compliance with all applicable laws and departmental policies/guidelines.

Key Responsibilities
  • Maintain an excellent customer service relationship with residents, vendors, the community staff, and all other co-workers.
  • Bilingual in English/Spanish required.
  • Contribute to and facilitate an optimized consumer experience in a virtual environment via phone, email, or other technologies.
  • Monitor the timely receipt and reconciliation of rent collections and ensure landlord/tenant statutes are followed.
  • Communicate with residents regarding account balances, follow procedures for collecting delinquent accounts, and enforce lease contracts to maximize revenue.
  • Maintain all account records and transactions including NSF’s, rent allowances, concessions, rent increases and other management approved debits and credits in Property management software.
  • Ensure timely collections of all rent receipts through the preparation and distribution of delinquency reports to the Community Manager and/or Regional Director.
  • Prepare and coordinate delivery of all legal and formal notices in accordance with state law and company standards, including but not limited to late notices, change in term notices, and lease violations – as needed.
  • Follow the Company’s established procedures related to regaining possession of apartments by following proper notice requirements, filing of documents with legal representation. Ensuring proper communication and coordination of the processes for representation in court with local onsite teams and legal counsel.
  • Review and approve Final Accounting Statements (FAS), ensuring all are timely and comply with state law and all changes are necessary and correct as stated on the Move Out Inspection Report to ensure accurate billing and minimize liability of damages to communities.
  • Process resident move-outs in accordance with state law and company standards.
  • Assist with administrative paperwork within the resident lifecycle to include but not limited to move-in and move-out procedures, resident renewal processes, resident file audits, resident insurance audits, and other administrative tasks as necessary.
  • Promote resident satisfaction and retention by responding to questions and requests in a timely Responds promptly to former resident(s) inquiries according to level of urgency and properly records detail of actions taken.
  • Complete projects, tasks, assignments, and other work that is unique to the department, follows departmental policies and procedures, and meets standards, metrics, and other benchmarks used within the department for evaluating performance and results.
  • Complete all Property management software computer training sessions and other Property management software processes in accordance with operational policies and procedures.

Pay Range: $21 - $24 per hour
