Distribution Shipping Clerk
Classification: Non-Exempt
Reports to: Shipping Manager
Summary
The Shipping/Invoicing Clerk is responsible for a variety of tasks including (but not limited to) ensuring that all outgoing shipments are processed accurately and efficiently, and that invoices are prepared and submitted in a timely manner. This role involves coordinating with various departments within the company to ensure that customer orders are fulfilled and shipped on time, and that all necessary documentation is completed correctly. This position will involve detailed record keeping, analyzing data/information, having the ability to work independently or in a team environment, critical thinking, and using good judgment in decision-making. Candidate must possess the ability to read and understand information/ideas presented in written form.
Essential Functions/Duties
- Observe, follow and maintain a safe working environment.
- Process and coordinate outgoing shipments, ensuring that all required documentation is accurate and complete.
- Prepare and submit invoices to customers in a timely manner.
- Communicate with various departments within the company to ensure that orders are fulfilled and shipped on time.
- Maintain accurate records of all shipping and invoicing activities.
- Handle customer inquiries and resolve any issues related to shipping or invoicing.
- Clean and maintain supplies, tools, equipment, and storage areas in order to ensure compliance with safety regulations.

- Proficiency in the use of a PC/Laptop including the use of Microsoft Word, Excel, Outlook and other position relevant software applications.
- General understanding of Less than Truck Load (LTL) and Truck Load weight breaks and routing assignments is needed. Transportation Management System knowledge is a plus.
- Possess the ability to ship parcel shipments using WebX software system.
- Strong verbal and written communication skills is required.
Physical/Cognitive Demands
This role involves working in an office and warehouse environment, with frequent standing, walking, and lifting. The Shipping/Invoicing Clerk may be required to work overtime or on weekends to meet deadlines or accommodate customer needs. They may also be required to operate machinery or equipment such as forklifts or pallet jacks. Cognitive abilities required include deductive reasoning, information ordering, oral comprehension, oral expression, problem sensitivity, written comprehension, and written expression.
Position Type/Expected Hours of Work
This is a full-time position:
Hours are Monday through Friday, 7:00 AM to 3:30 PM.
Evening and weekend work will be required as job duties demand.
Required Education and Experience
- High School Diploma or Equivalent
- 2-3 years’ experience in a similar Distribution or Manufacturing Environment
Preferred Education and Experience
- Bilingual English/Spanish language skills is a plus
