Job Summary
The Human Resources Coordinator provides administrative and transactional support to the onsite client group, assisting employees and managers with day-to-day HR support. The role contributes to accurate and timely HR operations by coordinating recruitment and onboarding, maintaining employee records, and supporting core HR processes. Serving as the primary onsite HR contact, the HR Coordinator helps foster a consistent and positive employee experience for warehouse and salaried teams. This position reports to the Director, Human Resources.
Duties & Responsibilities
Support recruitment activities, including posting job ads, scheduling interviews, conducting initial phone screens, completing reference checks, and preparing offer letters
Own full-cycle temporary labour recruitment including vendor relationship management with third party recruitment agencies
Coordinate onboarding activities such as collecting and organizing new hire documentation, scheduling training, managing Day 1 logistics, and ensuring all steps in the onboarding checklist are completed
Maintain employee files and ensure all documentation and lifecycle changes are accurately recorded and up to date
Assist in updating HR work instructions, process documents, and other administrative materials
Administer employee programs including Employee Spotlight and Service and Anniversary Awards by coordinating nominations, communication, tracking, and any required gift distribution
Assist with reporting and documenting health & safety incidents and support the on‑site Health & Safety program under the guidance of the Site Leadership
Ensure compliance with relevant state and federal health & safety regulations through accurate record keeping and follow up
Organize and lead Employee Engagement Committee events and initiatives
Provide site‑level administrative support including assisting Site Leadership with office tasks, organizing meeting and event logistics, managing supply ordering, and supporting general operational requirements
Assist in creating and updating HR training materials and other documentation
Provide support on HR initiatives related to employee experience, organizational changes, and other projects as assigned
Perform other duties as assigned to support the HR team and site operations
Qualifications & Educational Requirements
1–2 years of HR experience providing administrative support across multiple HR functions
Associate degree in Human Resources, Business Administration, or a related field
Experience supporting health & safety programs within an operational environment an asset
Effectively manages multiple priorities while maintaining a high level of accuracy and detail
Brings a positive, solution‑focused mindset and an interest in ongoing growth
Proficiency with Microsoft Office; experience with HRIS systems (preferably Dayforce)
