Title:

Finance & Administration Coordinator

Reports to:

The Finance & Administration Coordinator will report to the Associate Director, Finance & Administration

Position Overview:

The Finance & Administration Coordinator supports the day-to-day financial and administrative operations of the organization. This role is responsible for processing financial transactions, maintaining accurate financial and donor data, supporting reporting and audit activities, and ensuring compliance with organizational policies, Generally Accepted Accounting Principles (GAAP), and applicable regulations.

This position works collaboratively across departments to support accurate financial operations and donor record management in a mission-driven environment.

Supervisory Responsibilities and/or Collaborative Responsibilities:

The Finance & Administration Coordinator may supervisors interns on a project basis and will work collaboratively with Marketing and Communications, Community Engagement, House Operations, and Development.

Essential Functions:

  • Process accounts payable and receivable, including invoice routing, payments, and revenue deposits
  • Perform account reconciliations and support month-end and year-end close
  • Maintain financial records, reports, and audit documentation
  • Monitor financial transactions and ensure accuracy and compliance with internal controls

 

General/Administrative

  • Maintain vendor documentation (e.g., W-9s) and financial records
  • Support record retention practices and secure handling of financial and donor information

 

Database Management

  • Maintain accurate donor and financial data within internal systems
  • Support reconciliation between donor database and accounting systems
  • Generate reports and assist with data imports/exports
  • Provide basic system support and ensure proper data access controls

 

Fundraising Support

  • Process donations and acknowledgements in compliance with applicable guidelines and IRS requirements
  • Maintain accurate donor records and supporting documentation
  • Assist with donation-related inquiries and issue resolution

 

Other duties as assigned.

Qualifications and Requirements:

  • Bachelor’s degree in Accounting, Finance, or related field (or equivalent experience)
  • 1–3 years of accounting, finance, or administrative experience
  • Experience with accounting and/or CRM systems (e.g., Sage, Neon) preferred
  • Proficiency in Microsoft Office Suite
  • Understanding of nonprofit accounting and internal controls preferred

The Details:

  • Position Location: Local to the Greater Washington, DC area. This position will work a hybrid schedule.
  • Salary Range: $45,000 to $60,000

Required Education, Experience & Qualifications: 

  • Bachelor’s degree in Accounting or Finance, or equivalent experience

  • Organized and detail-oriented, with exceptional attention to detail/accuracy 

  • High degree of computer literacy and willingness to learn new systems

  • Sitting at a desk for long hours, within a temperature controlled indoor office setting 

  • Spending long hours in front of a computer screen 

  • Frequent use of hands and arms to use office equipment, telephone, computer 

  • Occasional need to lift and move supplies up to 30 lbs.

  • Kneeling/stooping as needed to straighten the office or put supplies away 

  • Talking and listening to individuals and small groups is a major component of the role
