The Administrative Services Coordinator provides day-to-day operational support across divisional functions.  This role supports service execution, handles routine requests, and ensures tasks are completed accurately and on time. The position focuses on supporting internal operations and assisting more senior team members by executing defined processes, coordinating service requests, and maintaining operational records.

NATURE AND SCOPE

  • This role does not manage people

  • This role reports to this job: Divisional Leadership

  • Necessary Contacts: Must work cross-functionally with internal and external customers at all levels.

How You Contribute to the Company's Mission In This Role

  • Support daily divisional operations across the division.

  • Receive and fulfill routine requests from internal customers.

  • Track and update service requests, inventory, and operational records.

  • Assist with coordination efforts between divisional staff and vendors to ensure efficient service delivery and operational support

  • Support procurement, contracting, and vendor lifecycle activities

  • Support divisional financial processes, including invoicing, accounts receivable, and accounts payable

  • Assist with maintaining organized records and filing systems.

  • Generating building identification (ID) cards for replacement of badges, new employee hires, and/or contingent workers

  • Support data entry, reporting, and documentation activities.

  • Ensuring confidentiality and security of any and all Information (personal employee information through system security protocol)

  • Provide planning and coordination support to various safeguarding and emergency preparedness activities as needed.

  • Maintain ongoing reporting activities through data collection as well as conducting ongoing research to assist with development of program plans

  • Assisting with the development of divisional policies and procedures to ensure compliance with regulating agencies

REQUIRED QUALIFICATIONS

  • High School Diploma or equivalent required

  • 1 year of experience in an operational coordination, administrative, or support role required.

  • Strong organizational and coordination skills with the ability to manage multiple priorities.

  • Working knowledge of access control systems, badging processes, or similar operational platforms.

  • Experience working with vendors and supporting procurement and contract processes.

  • Attention to detail and accuracy in financial and administrative tasks.

  • Strong communication skills and ability to work cross-functionally with internal and external partners.

  • Must demonstrate strong problem-solving skills while performing research capabilities in a competent and professional manner with minimal direction.

  • Ability to work with a diverse and multi-disciplinary team and work proficiently in a fast-paced demanding environment.

  • Highly proficient in Microsoft Office products (e.g. Word, Excel, PowerPoint, and Outlook) and or Program Management Software (e.g. MS Project).

PREFERRED QUALIFICATIONS

  • Experience supporting physical security, access control, facilities, or workplace services functions preferred.

  • Experience with vendor coordination, procurement processes, and AR/AP activities preferred.

  • Working knowledge and competent use of SharePoint is preferred.

  • OSHA certification or AED/CPR certification preferred.
