Department

Pediatrics

Pediatrics is a 20-bed unit that provides compassionate care for common illnesses including urinary tract infections, respiratory problems, dehydration, ingestions, abdominal pain, appendicitis and gallbladder disease. In addition, we offer subspecialty care in pediatric neurology and seizure treatment, pediatric infectious disease and pediatric cardiology. We also provide a broad range of surgical specialties, including general surgery, ear, nose and throat (ENT), orthopedic and neurosurgery services. The nurse-to-patient ratio is 1:4.

Job Summary

Under minimal supervision, performs administrative and record keeping functions in the assigned Department. Provides clerical and technical support. Supports the goals of the department by compiling reports and entering information into appropriate databases accurately. Communicates with the team to assure due dates and other targets are met.

Essential Functions:

  • Communicates information appropriately so that others are informed as necessary. Responds to emails and voicemails. Files and maintains records, correspondence and other paperwork. (20%)
  • Maintains needed office supplies for self, department and assigned department members. Delivers phone messages accurately and promptly. Acts as the point of contact for receiving information and calls from external and internal customers/service providers to maintain equipment/supplies, maintenance, ect. And notifies the appropriate personnel. (20%)
  • Receives and screens visitor and staff telephone calls. (10%)
  • Refers patients or staff callers to the appropriate personnel.. (10%)
  • Arrange meetings, interviews and conferences. Schedules appointments, reserves conference rooms, and makes audio-visual equipment arrangements as needed. (20%)
  • Maintains department employee files and ensures they are up-to-date and contain all appropriate documents per HR policy. Collects and enters data in spreadsheets and databases for monthly reports. (10%)
  • Attends training courses provided by the organization as necessary. (10%)


Education:

  • No High School Diploma and/or No GED


Work Experience:

  • 4-6 years clerical or administrative experience required.
    Required


Knowledge, Skills and Abilities:

  • Ability to organize work day in order to manage multiple, simultaneous projects.
  • Demonstrates a willingness to learn new techniques, methods and participate in a new program and other system changes.
  • Knowledge of inventory practices with the ability to maintain adequate levels of supplies.
  • Excellent verbal and written communication skills as well as good interpersonal human relation skills.
  • Able to troubleshoot malfunctioning equipment and notify appropriate repair contact.
  • Intermediate knowledge of databases sufficient to be able to research, analyze and report.
  • Skill in filling out forms and completing paperwork relative to the work assignment.
  • Ability to create, store, edit, format, print, and revise tables, reports, forms, labels, and other printed material using the available software.
  • Recognizes, initiates and leads improvement efforts through initiative, judgment, tact, and discretion.
  • Proficient in Microsoft Office Suite
