We’re looking for a skilled and compassionate Orthodontic Administrator to join our team. In this role, you’ll be at the center of the patient experience—supporting treatment coordination, managing scheduling, and ensuring every patient feels informed, confident, and cared for throughout their orthodontic journey.

Specifics about the role:
Job Type: Full TimeSchedule: Monday-Thursday 7:15 am -3:45 pm. No evenings or weekends.
What you’ll do:
Be the welcoming, knowledgeable point of contact for orthodontic patients
Manage phone calls, inquiries, and schedule consultations and treatment appointments
Guide patients through treatment plans, timelines, and financial options
Coordinate and optimize the orthodontic schedule to ensure efficient patient flow
Support the clinical team by ensuring appointments are well-prepared and organized
Maintain accurate patient records and track treatment progress
Manage insurance submissions, pre-authorizations, and billing follow-ups
Proactively manage recalls, adjustments, and ongoing treatment visits
Help create a smooth, supportive experience for patients throughout their treatment journey
Contribute to a positive, team-focused environment centered on exceptional patient care
What you’ll bring to the role:
Minimum of 2 years of experience in an orthodontic clinic environment
Knowledge of dental/orthodontic billing and insurance processes
Experience with orthodontic scheduling, treatment coordination, and case presentation is an asset
Proficiency with Microsoft Office; experience with Dolphin is an asset
Strong communication skills, both verbal and written
Excellent organizational skills and attention to detail
A confident, patient-focused approach to explaining treatment and answering questions
Ability to multitask and thrive in a fast-paced environment
