
Administrative Assistant - Viaero Fiber
Job Description
We’re looking for a highly organized, proactive professional who thrives on keeping teams aligned, projects moving, and leaders on track. As our Fiber Administrative Assistant, you’ll play a key role in supporting our network, engineering, and construction teams—acting as the connective tissue that ensures nothing slips through the cracks.
This is not a passive administrative role. The ideal candidate is confident managing up, anticipating needs, and bringing structure to a fast-paced, deadline-driven environment with multiple stakeholders.
What You’ll Do
- Partner closely with management and construction teams to organize, track, and move engineering and construction projects forward
- Own project tracking systems, including creating and maintaining scheduling spreadsheets, reports, and status updates
- Keep leadership organized and accountable by proactively following up on deadlines, deliverables, and priorities
- Maintain accurate and up-to-date network documentation within Quickbase
- Track, order, and manage inventory of network materials to ensure projects stay on schedule
- Coordinate contractor compliance by obtaining and tracking certificates of insurance for all projects
- Manage and maintain detailed records, including permits, project documentation, and materials tracking
- Provide general administrative and data entry support as needed

Qualifications
- Proven experience in office administration, bookkeeping, or accounting support; familiarity with project cost tracking or job costing
- Associate’s or Bachelor’s degree in Accounting, Business Administration, or a related field is preferred
- A minimum of 2 years’ administrative/office support experience is required.
- Must possess strong computer and typing skills. Applicants must be proficient in both Microsoft Word and Excel.
- Ability to multitask, prioritize in a fast-paced environment, and maintain attention to detail, demanding work schedule that includes early mornings, evenings, and some weekends.
- Good communication skills are essential, as is a cooperative attitude toward coworkers, customers and contractors
- Ability to interact with contractors and field teams, ensuring proper documentation and compliance with insurance and safety standards.
- Must be able to prioritize and re-prioritize as needed in a fast-paced working environment, especially when dealing with time sensitive issues
- Ability to complete assigned tasks having high productivity with minimal to no supervision.
- Must be at least 21 years old with a valid driver’s license and acceptable MVR
