About the Role:
Reporting to the Registrar, the Publications & Scheduling Coordinator supports student success by managing key academic publications and scheduling processes within the Registrar’s Office. This role is responsible for publishing the online academic catalogs, maintaining the Registrar’s Office webpages and forms, overseeing the production of course schedules and classroom assignments, and supporting the daily operations of the Registrar’s Office. This role provides friendly, accurate, and timely service to students, faculty, staff, and alumni.
Minimum Qualifications:
- Bachelor’s degree or equivalent relevant work experience and training.
- Excellent communication skills, including verbal, written, editing, and interpersonal abilities.
- Demonstrated ability to work collaboratively and build and maintain effective partnerships with varied constituencies.
- Proficiency with office productivity tools, database management systems, and web-based applications.
- Strong attention to detail and organizational skills.
- Ability to manage multiple priorities and meet competing deadlines.
- Commitment to providing inclusive, student-centered service.
Preferred Qualifications:
- Experience in a registrar’s office or higher education administrative setting.
- Familiarity with academic catalogs and/or course scheduling processes.
- Experience using higher education databases and content management systems (e.g., Colleague, Coursedog, OmniHost).
- Experience maintaining websites or managing online publications.
- Proficiency with Adobe Creative Suite, including InDesign.
Responsibilities:
- Publish and maintain the institution’s online academic catalogs, ensuring accuracy and consistency.
- Manage and communicate the academic catalogs’ publication timeline, working closely with academic area liaisons.
- Implement approved curriculum changes across relevant databases and systems.
- Coordinate the production of course schedules in partnership with academic departments.
- Ensure adherence to campus block scheduling guidelines and the accuracy of requisites, rules, and billing information.
- Assign classrooms, balancing instructional needs, space availability, and institutional priorities.
- Maintain and update the Registrar’s Office webpages and forms.
- Assist with training and supervising student staff.
- Support Registrar’s Office operations by responding to inquiries and processing student records transactions, including registration, major declarations, applications to graduate, name and address changes, transcripts, and other verification documents for students and alumni.
- Provide high-quality customer service to students, faculty, staff, and alumni through in-person, email, and phone interactions.
- Ensure data accuracy, confidentiality, and compliance with FERPA and institutional policies.
- Foster a positive office culture through professional, respectful, and ethical conduct.
