Job Description
Key Responsibilities
1. Operations Support
- Assist in the coordination and monitoring of daily facilities operations across assigned sites
- Support preventive and corrective maintenance activities for M&E systems (e.g., HVAC, electrical, plumbing)
- Monitor service performance against SLAs and KPIs
2. Administrative & Documentation
- Maintain and update records such as maintenance logs, asset registers, and compliance documentation
- Assist in preparation of reports (e.g., weekly/monthly FM reports, audit documentation)
- Support tracking of certifications, permits, and statutory requirements
3. Vendor & Contractor Coordination
- Liaise with contractors and service providers for scheduled works and ad-hoc repairs
- Assist in supervision of vendors and ensure compliance with safety and work standards
- Support evaluation of contractor performance
4. Compliance & Safety
- Assist in ensuring compliance with workplace safety regulations, ISO standards (e.g., ISO 41001, ISO 55000), and company policies
- Participate in safety inspections, audits, and risk assessments
- Support emergency preparedness activities and drills
5. Digital FM & Innovation
- Support the use of CMMS/CAFM systems for work order tracking and asset management
- Assist in digital initiatives such as IoT sensor monitoring, smart building solutions, or AI-driven analytics (where applicable)
6. Customer & Stakeholder Engagement
- Respond to service requests and assist in resolving tenant/user feedback
- Support coordination meetings and preparation of presentation materials
Learning Outcomes
- Exposure to integrated facilities management operations in a real-world environment
- Understanding of building systems, asset lifecycle management, and maintenance strategies (PPM/CBM)
- Familiarity with compliance frameworks and FM best practices
- Hands-on experience with digital FM tools and reporting systems
Requirements
- Currently pursuing a Diploma or Degree in Facilities Management, Engineering, Building Services, or related field
- Strong organizational and communication skills
- Proficient in Microsoft Office (Excel, Word, PowerPoint)
- Basic understanding of building systems is an advantage
- Positive attitude, willingness to learn, and ability to work in a team
