ABOUT THE ROLE
The Brand Creative team at the High is a small, high-output group responsible for brand, campaign, and editorial production across the museum's exhibitions, programs, and communications. We work across departments and collaborate with a wide range of internal partners, from curatorial and marketing to development and education.

The Production Coordinator serves as the connective tissue of the Brand Creative team, helping move projects from intake through delivery while supporting communication, timelines, and production logistics across a wide range of museum initiatives. This role is ideal for a highly organized, proactive communicator who enjoys bringing structure to creative work and helping teams stay on track.

Working closely with the Creative Director and Brand Creative team, the Production Coordinator will help manage workflows, coordinate with internal partners and vendors, and ensure creative deliverables move forward efficiently and at a high level of quality. This is an entry-level role with meaningful growth potential. The right person will learn how Brand Creative works and grow into a trusted operational partner who helps coordinate day-to-day project needs across the museum.

  • Weekdays
  • Occasional evenings and weekends as needed


WHAT YOU WILL DO:

Creative Pipeline Management (60%)

  • Serve as traffic manager for Brand Creative, maintaining a project tracker to log incoming requests, assign jobs, and monitor deadlines across active campaigns and exhibitions.

  • Act as a key liaison between Brand Creative and museum partners: coordinating project timelines, gathering required materials, communicating milestones, and following up on outstanding deliverables or approvals.

  • Run biweekly production check-ins and distribute weekly project status updates to keep the team and key partners aligned.

  • Help manage shifting priorities across multiple concurrent projects, proactively identifying blockers and communicating timeline changes as needed.

  • Develop working knowledge of print production timelines, vendor capabilities, file specifications, and museum production workflows to support successful delivery of printed and environmental materials.


Operations, Production and Administrative Support (30%)

  • Serve as day-to-day contact for print and production vendors: routing jobs, confirming specs, and flagging quality or timeline concerns to the Creative Director.
    Process invoices, track project expenses, and support coding and routing for Brand Creative projects.
     
  • Coordinate requests and production logistics for the museum’s in-house Ricoh printer, including routine vendor maintenance and internal collateral production.
     
  • Maintain organized project resources, including vendor contacts, agency references, advertising materials, signage files, and production specifications.
     
  • Compile and coordinate information for recurring museum materials, including event programs, teacher resources, board directories, and related collateral.


Other (10%)

  • Contribute to process improvements that help Brand Creative operate more efficiently.
  • Other duties as assigned.

  • You learn systems and workflows quickly — we will teach you our processes, vendors, and tools, but we are looking for someone proactive who picks things up fast.
  • You enjoy creative environments — interest in design, visual culture, museums, or creative production is a plus.

Education and Experience

  • Bachelor’s degree in communications, visual arts, humanities, arts administration, or related field (or equivalent experience)
  • Prior experience in project coordination, production, operations, administrative support, or creative environments preferred
  • Experience in a museum, agency, nonprofit, higher education, or creative organization is a plus, but not required
  • We are excited to train a highly organized, proactive candidate with strong communication skills and interest in creative work

Language Skills

  • Ability to write concise emails, schedules, meeting notes, and project updates with accuracy and professionalism.
  • Confidence communicating with a wide range of personalities, departments, and external partners.

Mathematical Skills

  • Ability to compute rates and percentages and to present information in report form, prepare and maintain budget and reconcile inventory.
     

PHYSICAL REQUIREMENTS:

  • Some standing, walking, bending, frequent use of hands, and stooping
  • Must be able to lift up to 15 pounds at times.
  • The noise level in the work environment is usually moderate.
