Senior Administrator, Private Clients
Location: Guernsey
Schedule: Monday to Friday, 36.25 hours per week
Work Arrangement: Hybrid / On-site
Job Summary
The Senior Administrator, Private Clients will lead the day-to-day administration of a portfolio of Guernsey trusts and companies, delivering high-quality fiduciary services and an excellent client experience. You’ll ensure work is completed in line with client service agreements and applicable Guernsey regulatory requirements (including AML/CFT and relevant reporting obligations). This role partners closely with internal stakeholders and external advisers to progress transactions, maintain accurate records, and meet statutory deadlines.
Key Responsibilities
- Lead the administration of a portfolio of private client trust and company structures, ensuring accurate execution of client instructions
- Maintain complete, orderly, and up-to-date client records, including drafting minutes and meeting notes to an appropriate standard
- Coordinate with lawyers, accountants, tax advisers, and banks to support the ongoing management of complex private client matters
- Oversee cash management and payment processing, ensuring tasks are completed accurately and on time (including work delegated within the team)
- Partner with the Accounts team to support bookkeeping and annual accounts preparation, ensuring agreed timelines are met
- Monitor and support timely fee collection, including proactive follow-up of outstanding debtors in line with internal processes
- Action compliance and file review points promptly in collaboration with the Assistant Manager/Manager and relevant control functions
- Ensure timely completion of annual tax filings, AEOI reporting (e.g., CRS/FATCA where applicable), and other legislative/regulatory deadlines
- Stay current on Guernsey fiduciary and private client industry developments, escalating risks, issues, and process improvement opportunities
- Deputise for the Assistant Manager as requested to support team delivery and consistent service standards
Required Qualifications
- Relevant experience in a regulated fiduciary, financial services, or professional services environment (private clients/trust and company administration)
- Strong organisation and time-management skills, with the ability to manage competing deadlines and deliver a high standard of client service
- Working knowledge of Guernsey regulatory expectations for fiduciary services, including AML/CFT and governance requirements
- Clear written communication skills, including drafting minutes and maintaining well-documented client files
- Proficient IT skills, with confidence using core business systems and Microsoft Office applications
- A solid educational background (A Levels/Baccalaureate or equivalent), including GCSEs (or equivalent) in English and Mathematics
Preferred Qualifications
- STEP, ICSA/CGI, or similar qualification (fully or part-qualified), or a demonstrated willingness to study toward a relevant professional qualification
- Experience supporting AEOI reporting (CRS/FATCA) and coordinating tax filing requirements for trust and company structures
- Experience liaising with banks on account operations, KYC refreshes, and payment-related queries
- Familiarity with Guernsey fiduciary best practice and GFSC-regulated environments
