Position Summary
The HR & Compliance Support Coordinator provides day-to-day administrative and operational support to both departments, assisting with onboarding, benefits administration, contract management, and compliance recordkeeping. The ideal candidate is a proactive self-starter — highly organized, detail-oriented, and adept at managing competing priorities with professionalism and discretion.
Essential Job Functions
- Prepare biweekly All Teams presentation; send reminders for open enrollment, compliance training, and required activities; and provide Paycom support, including password resets.
- Maintain job description files and other HR records.
- Coordinate new hire onboarding end-to-end — including first-day communications, workspace preparation, orientation, and accurate completion and filing of all onboarding and offboarding documentation.
- Process employee programs, including but not limited to wellness/gym memberships, parking cards, and key/fob provisioning; reconcile reimbursements and overpayments.
- Assist with system set-up, tracking employee training and development programs, and follow up with employees and leaders regarding training completion across in-person, online, and computer-based formats.
- Track completion of policy acknowledgements and other documents assigned within Human Capital Management System and follow up with employees and leaders as needed to ensure timely completion and proper documentation.
- Reconcile and audit select HR records, including I-9 records, phone reimbursements, gym reimbursements, beneficiaries, insurance carrier invoices, and benefits billing.
- On a daily basis, prepare and route contract documents for authorized signature, providing approvers with a concise summary of program and financial details; track execution and distribute fully signed contracts to appropriate recipients upon completion.
- Prepare and track Independent Contractor agreements through full execution, ensuring receipt of W-9s, ACH forms, and related documentation; maintain contract data in JAMIS (ERP).
- Manage the Compliance and HR Department general mailboxes.
- Proactively identify opportunities to improve workflows and processes, leveraging AI tools and emerging technologies to work smarter and drive efficiency across HR and Compliance functions.
- Schedule and coordinate meetings and special projects across both departments; prepare expense reports and employee communications, including company-wide celebrations, training, and volunteer activities.

Education/Training
- Bachelor’s degree in Human Resources, Business Administration, or a related field
- Will consider 4+ years of work experience in lieu of a degree
Experience
- Two years of administrative support experience within Human Resources, compliance, or a related organizational function.
- Prior exposure working with HRIS systems such as Paycom or similar platforms; exposure to contract management processes is a plus.
Skills, Knowledge, and Abilities
- Strong organizational skills with the ability to manage multiple priorities simultaneously across two departments.
- Exceptional attention to detail and accuracy in record-keeping, documentation, and data entry.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with HR information systems is preferred.
- Strong written and verbal communication skills with the ability to draft clear, professional employee communications.
- Ability to handle sensitive and confidential information with discretion and the highest level of integrity.
- Excellent problem-solving skills and the ability to work under pressure.
